Contract Type: Fixed Term (Less than 1 year, subject to renewal), Part Time.
JOB PURPOSE
The International Assignee (IA) Support Coordinator is responsible for ensuring a seamless onboarding, banking, and contracting experience for International Assignees within WVI. This role provides administrative and coordination support across multiple People & Culture (P&C) functions, ensuring compliance with internal processes and maintaining data accuracy throughout the IA employment and onboarding process.
KEY RESPONSABILITIES
International Assignees (IA) Onboarding Assistance:
- Track onboarding progress for new and existing IA candidates by running weekly reports and verifying employment data.
- Ensure onboarding plans and business processes are assigned in a timely manner.
- Submit requests for global health risk assessments and follow up to obtain relevant reports.
- Provide up-to-date IA information to the P&C teams involved in IA recruitment, employment and onboarding.
- Respond promptly and attentively to general onboarding inquiries from new and existing IAs.
- Refer technical questions to relevant P&C teams and ensure all inquiries are addressed.
International Assignees (IA) Banking Assistance:
- Provide information to IA candidates on requirements for establishing a bank account; maintain and update account opening instructions.
- Prepare employee reference letters accurately and promptly for banking institutions.
- Coordinate with banking institutions to ensure IAs receive swift first-hand resolution for any banking issues.
- Collect and verify IA mailing data and submit for mail shipment; follow up with corporate services to ensure regular shipment as per SLAs.
- Address general banking inquiries from IAs and/or P&C staff on a daily basis.
International Assignees Contracting Assistance:
- Support the preparation of IA contracts, ensuring all pre-contract requirements are met.
- Maintain accurate and compliant employee records in accordance with data privacy regulations.
- Process IA contract extensions upon request and within contracting guidelines.
Other Duties:
- Meaningfully participate in team meetings and make contributions into team’s success.
- Partner and collaborate with team members on their portfolios as needed.
- Perform other duties as needed at manager’s discretion
REQUIRED PROFESSIONAL EXPERIENCE, EDUCATION, TRAINING, LICENSE, REGISTRATION, AND /OR CERTIFICATION:
- Associate’s Degree (or equivalent) or at least three years related experience in human resources or customer service. Equivalent combination of education and experience is accepted.
- Strong organizational and coordination skills with keen attention to detail.
- Excellent customer service skills and a client-oriented approach.
- Basic knowledge of general HR and experience with HR systems (for example, Workday).
- Ability to address employee issues resulting in timely resolution or appropriate escalation.
- Time management skills and the ability to prioritize requests.
- Ability to self-organize and handle multiple priorities effectively.
- Strong critical thinking.
- Ability to stay focused and problem-solve without direct supervision.
- Cultural sensitivity and awareness.
- Strong communication skills with different stakeholders.
PREFERRED QUALIFICATIONS:
Familiarity with global mobility or international HR processes preferred.
Previous experience with HRIS systems (Workday preferred).
- Ability to work cross-functionally and manage multiple priorities effectively.
Language Requirements:
- Excellent speaking, writing and listening skills in English. Other language/s will be an added advantage.
