Role Summary
The People Team is a fast-paced, delivery-focused function that works closely with teams and leaders across the Institute to support a high-performing and engaged workforce. The team is responsible for the effective delivery of people processes, strong operational execution, and high-quality support to the business.
The People Co-ordinator role sits at the centre of the UK People Team and plays a key role in ensuring that core people processes run smoothly and consistently. The role is primarily focused on coordination, administration, systems, and process delivery, with exposure to project work and continuous improvement activity.
This role will suit someone who is highly organised, detail-focused, and comfortable working with data, systems and multiple stakeholders. Strong Excel and PowerPoint skills, confidence using HR systems, and an analytical mindset are important, alongside a willingness to learn and develop within a People function. A traditional HR background is not essential.
This role may suit a recent graduate with strong administrative experience, or someone looking to transition into a People or HR role from another sector. Candidates from non-HR backgrounds are welcome, provided they bring strong IT skills, a structured approach to work, and a clear interest in working in global People team.
Key Responsibilities
People Administration & Coordination
Provide efficient and accurate administrative support across the employee lifecycle, including starters, contract changes, leavers, probation reviews and other people processes.
Coordinate cyclical People Team activity (e.g. annual pay review, audits, reporting requirements), ensuring deadlines and actions are tracked and met.
Act as a central point of coordination for People Team processes, maintaining trackers, checklists and documentation.
Support the smooth operation of People processes using the Institute’s ERP system (Workday), ensuring data is accurate and up to date.
Project & Improvement Support
Support People Team projects and initiatives by maintaining project plans, timelines, trackers and action logs.
Assist with process improvements and system changes, helping to document processes and support implementation.
Provide regular status updates and support the coordination of inputs from across the team.
Data, Systems & Reporting
Maintain the accuracy and integrity of people data held in Workday.
Produce routine and ad-hoc reports using Excel, ensuring information is clear, accurate and well presented.
Support basic analysis of people data to inform People Team activity (e.g. tracking trends, volumes, and completion of processes).
Prepare clear and professional PowerPoint materials to support internal updates, meetings and stakeholder discussions.
Operational Support
Coordinate onboarding activity and support a positive and consistent new-starter experience.
Support monthly payroll processes and respond to payroll queries in a timely manner.
Assist with audit requests and compliance activity.
Manage supplier administration, reporting and invoicing as required.
Team & Stakeholder Support
Work closely with People Team colleagues, including HR Advisors and Business Partners, to ensure effective handovers and joined-up delivery.
Provide administrative and coordination support for formal people processes where required, handling all information with discretion and professionalism.
