UNICEF Supply Division (SD) serves as a global centre of expertise and knowledge on the procurement, market shaping, delivery, quality assurance and management of essential supplies and equipment for children - and in strengthening national supply chains to manage and deliver these supplies and equipment, and ensure they reach the last mile UNICEF’s global leading role in humanitarian/development supply chains has continued to generate a lot of interest from national governments, donors, partners, private foundations, other UN agencies and partners who are keen to learn about UNICEF’s processes, procedures and innovative approaches in delivering supplies for children. As such, these organizations make planned visits to UNICEF Supply Division in Copenhagen throughout the year.

Country visits are an opportunity for UNICEF to showcase its capabilities, operational excellence, and comparative advantages in how it can support countries in accessing affordable and quality essential supplies, equipment and services, It is also a unique opportunity to advocate for industry best practices and build mutually beneficial relationships with national governments while also providing a platform to generate ideas and chart the way forward in transforming supply chains for children.

These country visits are expected to result in concrete actions which the country office would lead with follow up and support by UNICEF SD.

The country visits hosted by Supply Division have different formats which include study visits, centre/subject specific visits, targeted learning programmers and have a broad range of objectives that include;

  1. Facilitating knowledge exchange between UNICEF and country national counterparts (government, private sector, civil society, other) on procurement and supply chain management related matters.
  2. Providing a forum for in-depth discussions to clarify, inform and define next steps in procurement and supply management and systems strengthening.
  3. Promoting South-South learning through UNICEF’s work in other countries.
  4. Fulfilling specific objectives related to the procurement and supply of vaccines, health products and other commodities through high-level advocacy and engagement.
  5. Sharing UNICEF’s best practice and offering across procurement, financing and national supply chain strengthening and
  6. Catalyzing action at the country level.

This position will be responsible for the end-to-end planning and execution of the country visits which include but not limited to setting up dates and agenda, defining objectives, coordinating across the Supply Division, inviting presenters and facilitators, and ensuring logistics and administrative support is provided to for overall event planning etc.

These country visits are highly visible across Supply Division and Country Representative offices, requiring attention to detail and thorough follow up to ensure a smooth running of each visit. As such significant amount of planning and coordination is essential.

Under the supervision and guidance of the Supply Chain Manager - Systems Design & Innovation in SCSC, the incumbent will work in close collaboration with the Director’s Office, the SCSC Administrative Assistant, relevant UNICEF Supply Division Centers, Programme Division, and Country Offices to plan, organize and deliver country visits. The incumbent will perform the following, but not limited to, functions and duties, also outlined in the Country Visit Standard Operating Procedure (SOP). Calendar: • Coordinate the yearly visit plan/calendar through Regional Supply Advisors • Refine/update visits calendar as required and on a monthly basis • Ensure no conflict with other major events in the SD Calendar or for key/critical centers • Coordinate with the Deputy Director’s Office (DO) for approvals all visits and dates date changes, and participation from DO or Deputy DO as required.
• Early notification of dates to key centers Technical support: Agenda setting and Briefing notes • With inputs from the Supply Chain Manager and other centers as relevant, review and input to the terms of reference (TOR) and agenda based on country priorities • Early coordination of agenda with SD centers • Briefing calls with Cos and relevant Centers to understand scope (minimum 2 calls) • Lead the drafting of the agenda based on TOR priorities and calls with Country Office, SD Centers and ensure timely inputs from CO and SD centers • Coordination with SCSC on specific SCSC sessions, as well as other SD and PG Centers • Share final draft to all centers and send calendar invites for individual sessions • Coordinate presentations with SD centers and CO • Draft briefing note and talking points for opening • Coordinate with MSDEC for data slides

Administrative Preparations of Visits: Coordinate with the Administrative Assistant for all meeting logistics and administrative preparations, and regularly update and monitor the Meeting Checklist for the following: • Close coordination with the UNICEF SD Administrative Unit and IT Team • Administrative support for the visit, liaising with country office for visas, travel requirements, participant lists, etc • Preparing and sharing admin note • Booking appropriate venue, catering, IT support services, and in-house administrative support for room set up • Coordinate with DO for confirming dates and booking calendars • Coordination for the warehouse tour • Other administrative tasks as required and outlined in the checklist

Visits: • Coordinating/ facilitate the visit participants • Capture key takeaways • Taking minutes with support from Country Office

Follow up after visits: • Support on report/ actions with close coordination by CO (one week after visit) • Preparation of summary slide for SDMT on key takeaways • Capture action in Activity Tracker • Follow up with CO and RO on actions/ status • Responsible for documenting the meeting outcomes (or delegation if deemed necessary in consultation with the focal centre). • Half yearly analysis of trends and key elements

Additional as needed: • Identify tools and processes to further support streamlining and improving the visits • Revise as required the checklist, SOP and other documents

Furthermore, UN Volunteers are encouraged to integrate the UN Volunteers programme mandate within their assignment and promote voluntary action through engagement with communities in the course of their work. As such, UN Volunteers should dedicate a part of their working time to some of the following suggested activities:

• Strengthen their knowledge and understanding of the concept of volunteerism by reading relevant UNV and external publications and take active part in UNV activities (for instance in events that mark International Volunteer Day); • Be acquainted with and build on traditional and/or local forms of volunteerism in the host country; • Provide annual and end of assignment self- reports on UN Volunteer actions, results and opportunities; • Contribute articles/write-ups on field experiences and submit them for UNV publications/websites, newsletters, press releases, etc.; • Assist with the UNV Buddy Programme for newly-arrived UN Volunteers; • Promote or advise local groups in the use of online volunteering, or encourage relevant local individuals and organizations to use the UNV Online Volunteering service whenever technically possible.

This role will be responsible for hosting high quality meetings and events that contribute to upholding UNICEF as the global centre of expertise and knowledge in humanitarian procurement and supply chain management.

Project/Programme Management preferably with knowledge in supply chain management/public health/Immunization/Nutrition Experience in planning managing, coordinating, and facilitating technical workshops/meetings/events Good knowledge of or previous work supporting public health supply chain systems or system strengthening in Low- and Middle-Income Countries is preferred Demonstrated ability to coordinate across departments/ within organizations Experience in coordinating administrative functions and/or overseeing administrative coordination including liaison with external entities e.g. embassies Working or living in a low or middle-income country is an advantage but not a requirement

The allowances are in no way to be understood as compensation, reward, or salary in exchange for the UN Volunteer’s service.
