Job Description

Job Overview: The Partnership Support Specialist provides general administrative support to ensure high quality and compliant programming among partners of the New Jersey Office for Refugees (NJOR) through effective sub‐grants management and due diligence. The Partnership Support Specialist will support pre-award due diligence, agreement execution, and program reporting and monitoring processes to ensure compliance with IRC’s Partnership Excellence for Equality and Results System (PEERS) and relevant Codes of Federal Regulations. The Partnership Support Specialist reports to the Senior Partnership Manager.

Major Responsibilities:

· Provide administrative support to all partnership processes.

· Complete due diligence on partner organizations.

· Support the Senior Partnership Manager in the development, approval, and execution of all NJOR partnership agreements.

· Update sub-award and service contract trackers.

· Maintain partner files, including filing all appropriate communication and maintaining the Sub‐Award Tracker, assembling all requirements throughout the sub‐award life cycle (such as scheduled payments, partner results, and special requirements).

· With the Senior Partnership Manager, co-lead Partnership Project Opening, Review and Closing Meetings, ensuring inputs from program, finance and compliance staff are received and included, meeting minutes taken, filed, and disseminated to Programs Officer and partners. Follow up on the implementation of action points agreed upon during these meetings.

· Support the Senior Partnership Manager in coordinating all monitoring processes. Develop annual monitoring schedule, coordinating development of monitoring tools, communicating monitoring‐related information to partners, and facilitating remote and on‐site monitoring.

· Complete timely close out of partnership agreements.

· Identify capacity strengthening needs with partners and coordinate support.

· In collaboration with relevant IRC staff, coordinate inputs and review of sub‐award progress for donor reporting and grant review meetings to ensure that donor commitments are met.

· Other related duties as assigned.

Job Requirements:

Education: 4‐year college degree in relevant field required. Graduate degree in management, administration or related field desired.

Work Experience: 2 years of experience with administrative or operational experience.

Demonstrated Skills and Competencies:

· Attentive to detail.

· Experience with non-profit administrative experience.

· Proven ability to contribute both independently and as a key team member.

· Self‐ starter with excellent problem‐solving skills combined with the proven ability to multi‐task, prioritize duties, and manage time effectively.

· Proficient in Microsoft Office applications (Word, Excel, Outlook); Experience with databases and applications preferred.

· Ability to maintain positive working relationships with colleagues and external stakeholders

· Commitment to the principles of diversity, equality, and inclusion

· Previous experience supporting grants or contract management an advantage

Language Skills: Fluency in written and spoken English.

Working Environment:

Work from home. Expectation to travel within local community for partner meetings and events. Oversight of staff in remote field sites. Expectation to occasionally travel and participate in meetings statewide.
