Job Organizational Context & Purpose for the job
Provide travel and transportation support as per established UN travel rules and regulations for official purposes. Review, evaluate and distribute work to the drivers and to the transport service providers. As part of the Common Services, participate in regular market review of travel and transportation service providers in order to achieve cost-effective travel, competitive fleet maintenance and logistics arrangements to meet office requirements. Monitor and schedule office vehicles for service and ensure that drivers maintain up to date log on vehicles. Prepare correspondence and reports on travel and transport as required by supervisor. Operations Assistant performs secretarial functions. Maintains the calendar for the Operations sections, organizes and prepares meetings chaired by the supervisor and takes minutes or notes. Receives, screens, log and routes correspondence, attaches necessary background information and maintains follow-up system. Selects and makes pertinent abstracts and undertakes research for information. Drafts non-substantive correspondence and ensures follow-up, types of correspondence, documents and reports, etc., some of which are highly confidential. Maintains policy, confidential and general management files. Makes travel arrangements for the supervisors and performs liaison duties with other units.
Key functions, accountabilities and related duties/tasks
- Brief international and national staff on all travel related entitlements and advisories, including security
- As part of the Common Services, participate in regular market review of travel service providers to achieve cost-effective travel
- Prepares correspondence on matters as required, reports and other documents, some of which are highly confidential, including drafting and handling of replies of routine correspondence, ready for supervisor’s signature, checking enclosures and addresses as well as proofreads for correctness, ensuring that spelling, punctuation and format are correct.
- Maintains policy, confidential and general files and ensures that all manuals and instructions are up-to-date and easy accessible. Keeps reference files on various subjects.
- Arranges appointments, receives visitors, places and screens telephone calls and answers queries with discretion for the Operations Section and maintains supervisor’s calendar.
- Arranges meetings, both internal and external, some involving high-ranking officials, and takes minutes and/or notes at meetings.
- Ensure that all Operations correspondence is screened, logged and routed to the respective addresses and maintain a follow-up system.
- Acts as focal point for the coordination and compilation documents within the Operations Section.
- Selects and makes pertinent abstracts and undertakes searches for information.
- Plan and monitor operations budget. Working closely with the team to ensure 100% expenditure by year end.
- Lead typing and formatting of all Standard Operating Procedures.
- Performs other duties, as required.
Impact of Results
Timely booking of tickets as per organizational rules and procedures and cost effectiveness, and any exceptions are properly documented for clearance from the Dep Rep Operations.
Wrong recommendations/decisions could involve unnecessary delay, disruption and may result in loss of funds.
Decisions are taken regarding work priorities and to some extend on the application of rules. Recommendations are made to improve efficiency and operations of the section.
Negligence in recording and preparing documents can affect the image of the organization.
Non-observance of confidentiality of personal matters may cause serious problems to the office and staff.
Skills
- High level of proficiency or skill is required in the interpretation and application of specialized rules and regulations to the particular circumstances of complex individual cases.
- Experience using MS Word, Excel, PowerPoint and other UNICEF office tools.
- Demonstrated understanding of the relevant policies, rules and procedures, and good practices in the daily work. Good judgement in order to handle complex cases including considerations for exceptions.
- Ability to develop and maintain effective working relationships with clients and colleagues and gain the assistance and cooperation of others in a team endeavor.
- Ability to use supply related modules within UNICEF ERP system.
- Ability to establish priorities and plan his/her own work and plan, coordinate and monitor the work of those under his/her supervision.

- Completion of secondary education is required, supplemented by technical or university courses related to business administration, contract/commercial law, or another relevant technical field.
