Job Description

Job Overview:

Under the supervision of the Spokane Site Director and with technical guidance of the Operations Manager, the Operations & Housing Coordinator is responsible for the reception, organization, valuation, procurement, and tracking of both purchased goods and In-Kind donations, working closely with the Resettlement team to ensure that supplies are delivered to clients effectively and efficiently. They are the primary supply chain point person for all Integra coordination, as well as for the inventory systems and data entry. The Operations & Housing Coordinator is also responsible for the acquisition of housing and the coordination of housing set ups. The Operations & Housing Coordinator will coordinate closely with internal stakeholders to streamline existing workflow systems, as well as help design, implement and upkeep new inventory/logistics protocols and systems.

Major Responsibilities:

Housing

· Establish and manage relationships with property managers to secure housing for refugees that is safe, sanitary and in good repair.

· Perform outreach to housing providers to increase access to housing for arriving refugee families

· Maintain up-to-date records of property managers and housing protocols.

· Prepare refugee housing for immediate occupancy upon arrival to the US.

· Work with caseworkers to secure housing prior to arrival for US-based relative cases.

· Coordinate lease signings with staff, partners and property managers.

· Coordinate with caseworkers and property managers to resolve all maintenance issues in apartments.

Furniture, Supplies and Inventory

· In conjunction with Outreach & Volunteer Coordinator maintain a cooperative relationship with staff and community partners to furnish apartments with required items prior to arrival.

· Coordinate all bed and furniture deliveries to secured apartments.

· Maintain ongoing inventory and organization of R&P supply room based on supply lists and procurement forms. Provide regular reports and respond to inventory checks.

Safety and Security (S&S)

· Serve as the office’s primary focal point for day-to-day S&S matters.

- Coordinate immediate incident management including filing police reports. Report S&S incidents involving covered persons in accordance with established protocols. - Develop office-specific S&S onboarding materials, ensuring the provision of S&S briefings to new staff and covered persons. - Organize a minimum of one emergency evacuation exercise at office or program site level per year and other appropriate trainings informed by Security Risk Assessment findings.

Information Technology (IT)

· Serve as the office’s primary focal point for IT and communications infrastructure, hardware, and software matters.

· Educate staff about IT support resources, including appropriate channels for incident reporting.

· Work with regional and HQ IT team to address any internet or telecommunications service disruptions, liaising with local internet and telecommunications service providers.

Supply Chain

· In conjunction with Operations Manager, serve as primary point of contact for procurement and supply chain. Order supplies, equipment etc. in accordance with supply chain and financial compliance guidelines and coordinate servicing and repairs as needed.

· Manage and maintain digital and physical files.

· Manage vendor billing/invoices in coordination with Finance team.

· Coordinate fleet management in accordance with established protocols.

· Coordinate on- and off-site storage needs.

CIK

· Manage inventory of in-kind donations in accordance with IRC HQ policy.

· Track office CIK and prepare monthly CIK report, ensuring match goal is met or exceeded.

Facility Management

· Manage office and equipment leases, coordinate repairs and improvements with property managers as needed.

· Coordinate the allocation of workspaces and support related employee lifecycle needs such as building access.

· Support smooth functioning of office infrastructure including communications equipment and services.

· Assist with planning and coordinating office events and meetings.

Other Duties

Reception Management

· Fill in for Front Desk during breaks and time off.

Interpretation Management

· Recruit, hire, and onboard a team of interpreters.

· Review interpreter time sheets and work with finance to allocate interpreter time.

· Other duties as assigned.

· Participate in all staff meetings, trainings and other duties as assigned.

Qualifications

Job Requirements:

· Bachelor’s degree or equivalent directly related experience required.

· Fluency in English required

· Highly organized self-starter with demonstrated problem-solving and follow-through ability, and proven success in managing multiple and diverse priorities under pressure.

· Strong analytic problem-solving skills with attention to detail.

· Ability to troubleshoot basic IT issues.

· Excellent verbal and written communication skills as well as an overall ability to be clear and concise in all communications.

· Strong organizational and time-management skills; proven ability to prioritize and deliver on time in a demanding, fast-paced environment.

· Ability to work both independently and in a dynamic, cross-functional global team structure.

· Highly proficient in Microsoft Office suite.

· Demonstrated ability to work effectively with stakeholders at all levels.

· Ability to manage and work through change in a proactive and positive manner.

· Ability to work some evenings and weekends as needed.

Working Environment:

· Standard office working environment

- Relevant degree or equivalent professional and/or lived experience - Lived experience as a refugee or immigrant is preferred - In lieu of lived experience, experience working with refugees and/or immigrants; cross-cultural or overseas experience accepted - Commitment to anti-racism and ongoing learning

- Access to a reliable transportation to travel regularly throughout the service delivery area
