IFC India is seeking an experienced and highly organized Operations Analyst to support the smooth functioning of the India Country Office in New Delhi. The selected candidate will oversee office administration, mission support, vendor and facility management, protocol coordination, and operational support functions for senior management, staff, and visiting missions. The role requires strong coordination, stakeholder management, and multitasking abilities in a dynamic multicultural environment.

Roles and Responsibilities

The Operations Analyst will work closely with the Country Management Unit (CMU), Resource Management (RM), Administrative Client Support (ACS), travel vendors, government counterparts, and service providers to ensure efficient office operations and high-quality support services.

1. Office Administration, Facilities, and Vendor Management

• Oversee day-to-day administration and smooth functioning of IFC India offices in Delhi and Mumbai.

• Manage office procurement, contract administration, renewals, and timely processing of payments and reimbursements.

• Supervise outsourced staff and service providers, including housekeeping, security, drivers, reception, and administrative support teams.

• Supervise Office Administrators and ensure effective coordination across both offices.

• Coordinate office logistics, workspace planning, seating arrangements, conference room management, and office moves.

• Oversee onboarding of new staff, including workspace readiness, access arrangements, and administrative support.

• Oversee vendor performance, contract compliance, and service delivery across office operations and facilities management.

• Coordinate with facilities and security teams to ensure uninterrupted office operations, workplace readiness, and maintenance support.

• Maintain effective relationships with vendors, contractors, airlines, airport authorities, and external service providers.

• Supervise reception and front-office operations to ensure high-quality visitors and client services.

• Support ACS coordination and ensure proper record management and administrative documentation.

2. Senior Management Mission, Travel, and Protocol Coordination

• Oversee logistics and protocol arrangements for senior management missions, VIP visits, and high-level delegations.

• Coordinate with the travel desk to ensure compliance with institutional travel policies and resolution of travel-related issues.

• Manage airport protocol, entry passes, convoy coordination, hotel bookings, transportation, and related logistics.

• Coordinate visa support, relocation assistance, Restricted Area Permits (RAPs), Protected Area Permits (PAPs), and United Nations Laissez-Passer (UNLP) issuance/renewal for international staff and visiting missions.

• Provide visa support letters, travel guidance, and mission-related assistance for visiting global staff.

• Liaise with the Ministry of Home Affairs (MHA), Ministry of External Affairs (MEA), and other government agencies on protocol, visa, and travel-related matters.

3. Events, Staff Engagement, and Safety Coordination

• Coordinate logistics and administrative support for conferences, workshops, retreats, field visits, and office events.

• Support the Country Management Unit (CMU) and senior management during internal and external events hosted in India offices.

• Support office-wide safety and security initiatives, including responsibilities as Safety Focal Point (SFP) and Road Safety Focal Point (RSFP), as required.

• Coordinate with security and facilities teams on emergency preparedness and compliance with office safety protocols.

• Support staff engagement and community initiatives to foster a collaborative workplace environment.

Selection Criteria
