You have:
- Bachelor degree in Business Administration or any other related field.
- 3 years of relevant experience in procurement, logistics, administration, or protocol support work.
- Working knowledge (level C) of English and working knowledge of the local language of Arabic is required.
- Good knowledge of the MS Office applications, Internet and office technology equipment.
- Jordan Nationality.
Organizational Setting
The main aim of the FAO country offices, which are headed by an FAO Representative, is to assist governments to develop policies, programmes and projects to achieve food security and to reduce hunger and malnutrition, to help develop the agricultural, fisheries and forestry sectors, and to use their environmental and natural resources in a sustainable manner.
Reporting Lines
The Procurement/Logistics Assistant will work under the direct supervision of the National Professional Officer (Administration), and working in close collaboration with FAO Jordan staff and immediate clients from within the Organization.
Technical Focus
The Procurement/Logistics Assistant will provide support in wide various routine administrative and procurement services. He/ she contributes to timely, efficient, and smooth procurement operations.
Tasks and responsibilities
- Review and prepare routine documentation and correspondence related to assigned procurement actions, including, but not limited to: identification of potential suppliers , preparation of invitations to bid, bid summaries, purchase orders and/or contract, simple contractual amendments, renewals; obtain clarifications when necessary;
- Follow-up on purchase orders and contracts: monitor receipt of order confirmation, shipment and receipt of goods and services, receipt of performance bonds or other necessary documentation;
- Review invoices of incoming goods, transportation services and custom’s clearance fees for accuracy; bring to the supervisor’s attention any discrepancies, which may arise, prior to processing the payment;
- Report on the status of procurement actions;
- File documents and correspondence and database records related to procurement actions, assigned tenders, purchase orders and contracts;
- Run periodic reports, taking action as requested;
- Ensure inputs of related data into systems are accurate and timely;
- Handle protocol assignments and ensure all protocol support are provided to FAO staff, consultants and at the airport, and customs clearance at ports.
- Provide supports, as necessary to FAO’s trans-border operations including customs clearance of shipments/consignment of FAO;
- Prepare and follow up all the office correspondence, communications, and other dealings with the concerned government authorities with regards to procurements, national and international Staff entry in the country, residency, work permit, etc.
- Perform any other administrative tasks as required.
- Perform other duties as required.

Minimum Requirements
- Education: Bachelor degree in in Business Administration or any other related field.
- Experience: 3 years of relevant experience in procurement, logistics, administration, or protocol support work.
- Languages: Working knowledge (level C) of English and working knowledge of the local language of Arabic is required.
- IT Skills: Good knowledge of the MS Office applications, Internet and office technology equipment.
- Jordan Nationality.

Selection Criteria
- Previous working experience with UN and/or international organizations will be an asset.
- Knowledge of FAO's Administrative policies and procedures will be an asset.
- The incumbent must possess a cooperative spirit, flexibility and openness to work in an international environment within a team of staff with mixed skills and different national and cultural backgrounds. Tact, courtesy and cultural empathy are essential personal attributes.
- As the incumbent has access to confidential and sensitive information, a high level of trustworthiness is needed.
