You have:

Organizational Setting

The main aim of the FAO country offices, which are headed by an FAO Representative, is to assist governments to develop policies, programmes and projects to achieve food and nutrition security and to reduce malnutrition, to help develop the agriculture, fisheries and forestry sectors, and to use their environmental and natural resources in a sustainable manner.

To this end, Finance Assistant performs a large variety of routine Finance and administrative transactions and office support functions contributing to the smooth and efficient running of required tasks and responsibilities to assist Representation to achieve its goals. The post is based in FAO Representation in Tehran, the Islamic Republic of Iran.

Reporting Lines

Under the overall supervision of FAO Representative and the direct supervision of Assistant FAO Representative (Administration), the incumbent will perform the tasks described below.

Technical Focus

NPP usually interact with a wide variety of colleagues within the work unit and with immediate clients within the Organization, providing routine finance and administrative support services.

Tasks and responsibilities

  • Process claims or invoices and other payments requests in line with relevant regulations and instructions;
  • Ensure that all supporting documents and information required to justify payment, including receipts, banking details, etc., are complete before releasing payments;
  • Settle invoices and claims after verification of supporting documents;
  • Retrieve, enter, select and analyse data from a wide variety of sources, including FAO’s corporate systems and data bases; verify accuracy of data documents; make necessary calculations;
  • Maintain imprest accounts; reconcile expenditures, balances, payments, statements and other data;
  • Assist in the preparation of recurring and special reports by preparing and editing data in appropriate format as requested;
  • Monitor project, programme and general office accounts, ensure timely VAT recovery;
  • Assist in preparing FAIRA’s Cash-flow, monitoring expenditures for timely replenishment of local accounts;
  • Assist in finalizing the year-end financial closure and in preparing PBR of FAIRA;
  • Assist in preparation and maintaining detailed records of budget estimates, obligations and available balances; record receipts and disbursements (ledgers, cash books, vouchers, etc.);
  • Prepare routine correspondence of administrative nature; draft correspondence to verify data, answer queries, and obtain additional information on transactions and financial matters, as required;
  • Maintain a filing system of administrative and financial documents;
  • Act as TEC Processor in GRMS and check travel expense claims, in accordance with the organization’s rules and policies; verify travel performed against appropriate entitlements;
  • Backstop Administrative Assistant when required
  • Perform other related duties as required.

Minimum Requirements

  • Secondary school education
  • Three years of relevant experience in Administration
  • Working knowledge of English and Persian
  • National of Iran.
