How can you make a difference?

The Programme Assistant (intern) will be responsible for the management and coordination of work for a broad segment of the organization, including provision of administrative and secretarial support to the senior management. This involves management of information and coordination of matters within a substantive team.

Description of the assignment:

The Programme Assistant (intern) will report to the Deputy Representative with responsibility for the management and coordination of work for a broad segment of the Organization. The role of this post is to provide administrative and secretarial support services to the senior management, including Office of the Deputy Representative. This involves management of information and coordination of matters within a substantive team. The post is a key interface with a broad range of contacts including high-ranking officials, both within and outside the Organization. The post prioritizes tasks and organizes work independently based on general direction from the supervisor.

Key deliverables****: • Administrative, executive assistance and secretarial support services provided to the Deputy Representative to facilitate smooth running of the office and effective processing of information and data. • Establishes internal tracking systems and procedures for monitoring work progress, deadlines and cases of priority and concern to the supervisor. • Help to organizes meetings including taking responsibility for finalization of the meeting agenda, invitations, the production and distribution of documentation, and preparation of minutes of meetings. Distribute meeting reports and information and ensure follows-up on required actions. • Collects and prepare briefing materials for Deputy Representative concerning official trips or special meetings. Undertake travel arrangements for supervisor, including arranging itinerary, visas, security clearance and hotel reservations. Ensure offices are informed of travel arrangements and requirements. Brief supervisor of important developments upon their return. • Provide technical support to implement the key milestones of roadmap for the new country programme cycle. • Provide support the Deputy Representative on day to day overall coordination and management of programme. Follow up with sections on certain deadlines. • Review and edit different reports and documents when needed.

To qualify as an advocate for every child you will have…

  • Be enrolled in a post graduate degree programme or be a recent graduate in the area of management, business administration or other relevant fields;
  • Be proficient in English and fluent in Russian/Tajik languages;
  • Have strong academic performance as demonstrated by recent university or institution records or, if not available, a reference letter from an academic supervisor;
  • Good documentation skills, judgment, initiative, high sense of responsibility, tact and discretion.
  • Previous experience as volunteer, demonstrated leadership /intern in INGOs or UN is considered as advantage.
  • Demonstrated cultural sensitivity and ability to establish harmonious working relations in a multicultural environment.
  • Good computer skills and management of work using online platform.
