Contract

This is a G-4 contract. This kind of contract is known as General Service and related categories. It is normally only for nationals. It usually requires 4 years of experience, depending on education. More about G-4 contracts.

Job Purpose:

The Programme Assistant SRHR is responsible for providing programme, administrative and logistical support to the SRHR unit.

Tasks are performed under direct supervision with clearly defined processes and limited discretion; s/he delivers quality and timely services to UNFPA colleagues in programmes support, travel, protocol and logistics (TPL) and supports the General Administration and Operations in compliance with all relevant rules, guidelines, processes and procedures. S/he takes a client-oriented results-focused approach to applying the rules, procedures and guidelines. The Programme Assistant SRHR also works in close collaboration with the Finance Associate to ensure effective support to the CO.

Internal contacts include the Senior Management team and technical staff of the SRHR unit and the Operations team.

You would be responsible for:

A. Supporting SRHR Programme team

  • Assist with logistical arrangements for meetings, missions, workshops and events, including procurement of standard supplies and logistical coordination.
  • Assist with collection of supporting documents for payments.

B. Research and Knowledge Management Sharing Support

  • Assist in the archiving, filing and maintenance of up-to-date electronic mailing lists on SRHR programme matters.
  • Record and distribute SRHR programme meeting minutes in a timely manner and assist the SRHR Specialist by following up on agreed actions and implementation of tasks, where appropriate.
  • Provide administrative support in compiling information for progress reports.

C. General Support

  • Carry out any other duties as may be required by UNFPA management.

Qualifications and Experience:

Education:

  • Completed Secondary Level Education required.
  • Additional training or certification in administration or office management is an asset.

Knowledge and Experience: Four years of relevant experience in project/programme support in private, national and/or international organizations including some experience in research assistance.

  • Previous experience in the UN system is an advantage.
  • Strong interpersonal and organizational skills.
  • Computer literacy - Word, Excel, Power-point, etc.
  • Good knowledge of ERP systems is an asset.
  • Good writing and communication skills.
  • Demonstrated ability to work in a team environment.
  • Experience in disability inclusive and gender transformative programming is an asset.

Languages:

Fluency in oral and written English. Working knowledge of another UN Official Language, an asset.
