Organizational Setting

The Food and Agriculture Organization (FAO) Representation in Indonesia is responsible for leading FAO's response to Indonesia priorities by developing, promoting and overseeing strategies for addressing food security, agriculture and rural development objectives. It ensures a multidisciplinary approach to programmes, identifies priority areas of action for the Organization in the country and, in collaboration with the Offices, Centres and Divisions at regional and headquarters, develops, promotes and oversees FAO's strategic response to country priorities. Also advises on the incorporation of country priorities into the Organization's Programme of Work and Budget and implements approved programmes and projects in the country, monitors the level of programme implementation and draws attention to problems and deficiencies. FAO Representation in Indonesia serving as the channel of FAO's services to governments and other partners (donors, NGOs, Civil Society Organizations, research institutions, etc.). The FAO representation in Indonesia helping governments to prevent disasters, assess damage, and assist them in the reconstruction and rehabilitation of the agricultural sector.

Reporting Lines

The National Logistics Assistant - Emergency Centre for Transboundary Animal Diseases (ECTAD) Programme, under the overall supervision of the FAO Representative, the general supervision of the Project Team Leader and close coordination with the Operations Assistant and direct supervision of the National Operations Specialist, will provide logistical supports to the ECTAD programme.

Technical Focus

The National Logistic Assistant - Emergency Centre for Transboundary Animal Diseases (ECTAD) Programme will be responsible in managing warehouse, goods distribution and fleet management

Tasks and responsibilities

Warehouse and distributions related tasks:

• Conducting regular physical inventory of goods in the warehouse and project offices with close coordination with the Inventory Assistant

• Arrange and monitor incoming and outgoing shipment from/to the warehouse and the project sites and ensuring the receipts of the good delivered are properly recorded/ archived and providing the necessary update to the Inventory Assistant. Providing update on the warehouse stock reports.

• In close coordination with the / Operational Assistants and STAs, to draft and prepare the projects distribution plan and ensuring its smooth and timely implementation.

• Determining the proper storage and maintenance of all equipment and supplies.

• Monitor the expiry dates of goods stored at the warehouse and make sure distributions to the field is based on the expiry dates

• Ensure the most efficient of shipment methods are selected

• Assist the project in producing/completing logistical data and information in reports requested by FAO Indonesia, FAO RAP, FAO HQ and donors

• Assist custom clearance process and liaise with government of Indonesia and Inventory Assistant

• Manage and monitor ECTAD asset and inventory, in collaboration with IT Assistant, Office Manager and Inventory Assistant

• Support the procurement unit in identifying the potential vendors for logistic related works services when necessary

Project vehicles management:

• Coordinating the project’s vehicles day to day operations, includes; drivers schedule, monitor the vehicle movements

• Verify weekly vehicle log book report

• Verify driver claims for vehicle expenses

• Performs other related duties as required

CANDIDATES WILL BE ASSESSED AGAINST THE FOLLOWING

Minimum Requirements

• Minimum of high school level required; university graduate preferred.

• At least three (3) years of progressively responsible experience of practical field logistics operations preferably including experience with an international organization.

• Working knowledge (Level C) of English.

• National of Indonesia.

• Technical training in logistics and/or supply management is highly desirable

• Good knowledge and understanding in spoken and written English

• Ability to work with minimum supervision
