The Operations Assistant (intern) is accountable for administrative, operational support services to enhance the smooth running of Admin/HR functions in and its workflow.

How can you make a difference?

Under the supervision and guidance of Admin/HR Officer, the Operations Assistant (intern) is responsible for executing a broad variety of routine tasks for Operations requiring full knowledge of UNICEF administrative, financial and HR procedures, processes and policies. Operations Assistant provides support in the application of established rules and procedures as well as in typical, non-specialized support work. Key performance indicators include the timely and accurate performance of assigned activities. In terms of communication, they are accountable for the exchange of routine, and less frequently non-routine, information with counterparts within UNICEF. Routine exchange of information outside of the team includes arranging travel and/or procurement and information technology support.

Communications & Workflow:

• Facilitates the communications and workflow of the organizational unit to enhance the efficiency and timeliness of operations and outputs. • Manages incoming and outgoing correspondence, e-mails and telephone calls. • Communicates routine and some non-routine information pertaining to the work of the team. • Establishes and maintains the office digital filing system and ensures the inter/intra-net websites are up-to-date and accurate.

Calendar/Meetings/Correspondence Management:

• Maintains office calendar and arranges meetings. • Takes minutes of Ops. meetings and keep the correspondence of the unit well organized.

Fleet/Travel Management:

• Support Admin Unit with managing the UN Driver Booking Service. • Distribute the workload/tasks among the drivers and monitor the log books. • Assists in the preparation of budgets on travel costs and maintains travel plan and budgetary control records. • Monitors travel certification and report back to the team.

Human Resources:

• Maintains and updates a system which monitors the absence of staff. • Support with on-boarding/off-boarding of staff • Support with processing individual consultancy services; • Performs any additional assignments in HR as requested by supervisor.

Other duties:

• Support in monitoring performance of service providers related to the common services (cleaning, utilities, maintenance services, security); • Submit requests for creation/update of VMD to non-staff; • Support finance unit with filing and digitalizing of the financial/partnership documents.

To qualify as an advocate for every child you will have…

- Be enrolled in a degree programme in an undergraduate or graduate school, or be a recent graduate ;

- have strong academic performance as demonstrated by recent university or institution records or, if not available, a reference letter from an academic supervisor;

- Expertise in operations/administration, previous experience as volunteer/intern in INGOs or UN is considered as advantage.

- Good judgment, initiative, high sense of responsibility, tact and discretion.

- Demonstrated cultural sensitivity and ability to establish harmonious working relations in a multicultural environment.

- Be proficient in English and fluent in Russian/Tajik languages

Remarks:

Salary/Payment:

UNICEF will pay a monthly stipend to the intern as per UNICEF procedure on internship programme. There is no expectancy of employment at the end of the internship.

Insurance:

UNICEF will not be responsible for costs arising from accidents and/or illness incurred during the intern’s service, whether on or off UNICEF premises. Therefore, the selected candidate must provide proof of enrolment in a health/accident plan prior to start his/her work with UNICEF.

Travel:

Travel costs and DSA will be covered in accordance with UN rules and regulations. No other remunerations apply.

Working Environment:

Medical insurance: You will be responsible for costs arising from accidents and/or illness incurred during the internship and must show proof of a valid major global medical insurance coverage.

Confidentiality: You must be discreet and keep confidential any and all unpublished information obtained during the course of the internship and may not publish any documents based on such information.
