ORGANIZATIONAL CONTEXT

JOB PURPOSE

Under the direct supervision of the Head of Asset Management Unit, the Asset Management – the consultant is required to contribute to the effective functioning of the Asset Support Unit

KEY ACCOUNTABILITIES (not all-inclusive)

  • Guide Field Offices in managing their assets in all the different phases of the asset cycle: from the recording to transfer, physical count, disposal and reporting.
  • Follow-up and support Field Asset Focal Points to ensure that all assets are checked on a regular basis and in good working order;
  • Support field offices by managing and responding to requests coming to ASSET.SUPPORT through HQ SERVICES mailbox.
  • Advise asset focal points on guidelines and procedures related to Asset Management.
  • Support field offices with manual and bulk creation and updates of equipment in the system; review files submitted by offices for upload before sending to the WINGS teams for processing to ensure consistency.
  • Follow up with FING on fixed assets depreciation and project closure move.
  • Maintain a contact list of Asset Focal Points, Admin Officers and other contacts in COs, Regional Bureaux, Divisions/Units for effective communication.
  • Collate data for analysis for asset reconciliation and reporting.
  • Support the Country Offices, Liaison Offices and HQ Annual Physical counts.
  • Maintain inventory label system (print and dispatch).
  • Any other duties that may be assigned/required.

STANDARD MINIMUM QUALIFICATIONS

Education:

Bachelor's degree in Business/Public Administration, Finance, Statistics, or other related fields

Work Experience:

At least one year of work professional experience in the area of Asset Management. Previous experience in an international organisation is desirable.

Knowledge and Skills:

Ability to work productively as part of a team and with people of different professional and cultural backgrounds and nationalities.

Good analytical skills

Good knowledge of MS Office with advanced Excel Skills.

Excellent time management, numerical analysis, and written and verbal communication skills are required.

Languages:

Fluency in both oral and written communication in English. Intermediate level in French and/or Spanish is desirable.
