Duties and Responsibilities

The United Nations Global Service Centre (UNGSC) provides critical Supply Chain, Geospatial, Information and Telecommunications Technologies services and Training to all Secretariat Entities, Peacekeeping and Special Political Missions, Agencies, Funds and Programmes of the UN system worldwide. This position is located in the United Nations Global Service Centre, Brindisi, Italy within the Warehouse & Distribution, Delivery & Return Section, Supply Chain Service. The United Nations Global Support Centre (UNGSC) is seeking to hire one (1) individual contractor for the support in activities related to the receipt and dispatch of cargo for a period of three (3) months. The Movement Control Assistant will work under the supervision of the Supervisor, Movement Control Cell. Within limits of delegated authority, the individual contractor will be responsible for the following duties: • Assist the team in the daily activities related to the receipt and dispatch of inbound and outbound cargo; • Arrange security clearance at the Pass office, collect and hand-over the entry passes to the drivers; • Escort and marshal the trucks from the main gate to the unloading areas, ensuring that safety and security procedures properly followed; • Verify quantity and conditions of cargo received against the covering shipping documents. • Ensure T1 documents accompanying cargo under customs bond are duly submitted to the local Customs Authorities for clearance before the cargo is handed over to R&I for the technical inspection; • Take pictures of any damaged cargo and, where necessary, open the palletized cargo to verify the actual number of pieces received. Make notes on the delivery documents as appropriate; stamp and sign the documents for receipt of the cargo; • Receive cargo and supporting documentation from the Warehouse Team for dispatch to UN Missions and Agencies, in accordance with Mission requirements; • Coordinate the collection of cargo from UNGSC with selected vendors/shipping agents, ensuring delivery documents are duly signed and cargo is properly secured for transportation; • Keep track of the items shipped to manufactory companies for short term repair or maintenance services under warranty. • Receive invoices pertinent to shipping services, verify them in accordance with the shipping contract and collate all the supporting documentation required for the certification; • Draft routine correspondence for distribution to suppliers, agents and UN entities. • Ensure compliance to UNGSC Safety and Health rules and regulations when performing each assigned task. • Performs any other duty assigned by the Supervisor, Movement Control Cell and the Chief, Warehouse & Distribution Unit (W&D Unit).

Qualifications/special skills

High School diploma or equivalent is required. A minimum of 2 years of work experience in logistics, supply management or warehouse distribution activity is required. A valid driver’s license type B is required. Forklift operator certificate (up to 3 Tons) is desirable.

Languages

English and French are the working languages of the United Nations Secretariat. For the post advertised, fluency in oral and written English is required.
