Meetings Management Individual Contactor

Result of Service Successful organization of the 2022 Technical Forum end of November and the Regional Climate Risk Management workshop in Africa mid-December and completion of related post-event follow-up work

Work Location Bonn

Expected duration 2.5 months

Duties and Responsibilities The individual contractor would have the following duties and responsibilities:

1. Follow up on confirmations from participant and draft a participants list Follow up on confirmations from participant and draft a participants list, contact participants and update their data 2. Support procurement exercises related to the meetings 3. Check on room layout and assist in any other logistical arrangements, registration, distribution badges and room assignments 4. Support technical requests and liaise with interpreters, as required 5. Assist in obtaining Participant information related to their travel, bank details and any other information related to travel support 6. Assist in providing visa letters and follow up on visa requests 7. Serve as focal point for meeting enquiries via responding to emails 8. Liaise with catering services as required for provision of hospitality 9. Assist in post event follow-ups as required with participants and vendors 10. Coordinate with communications team on updates regarding the meetings

Qualifications/special skills- High school degree is required - 2 years of experience in meetings management, project management, or conference management - Experience in data management is desired - Experience in Microsoft office package is desired - Experience in data analysis and data management is desired - Experience in organizing online meetings (Zoom. M.S.Teams, etc.) is desired - Experience working with international organizations is desired

Languages- Fluency in English is required - Any other UN language is desired
