The mission will be guided by ECA's five strategic directions are: advancing ECA's position as a premier knowledge institution that builds on its unique; position and privilege to bring global solutions to the continent's problems and take local solutions to the continent; developing macroeconomic and structural policy options to accelerate economic diversification and job creation; designing and implementing innovative financing models for infrastructure, and for human, physical and social assets for a transforming Africa; contributing solutions to regional and transboundary challenges, with a focus on peace security and social inclusion as an important development nexus; advocating Africa's position at the global level and developing regional responses as a contribution to global governance issues.

This position is located in the Publications & Conference Management Section (PCMS) within the Publications, Conference and Knowledge Management Division (PCKMD) at the United Nations Economic Commission for Africa, Addis Ababa. The Meeting Services Assistant works under the direct supervision of Chief of the Conference Management and Interpretation Unit and overall supervision of Chief Publications and Conference Management Section in PCKMD.

Responsibilities Within delegated authority, the Meetings Services Assistant will be responsible for the following duties:

  • Prepares sets of official documentation and reference material (in the six official languages) in documents booths, for distribution in the conference room;
  • Distributes texts of speeches and conference room papers to interpreters, other language staff and delegations during meetings;
  • Updates room charts and files for each scheduled meeting;
  • Prepares conference material for meetings to be held away from Headquarters;
  • Sets-up meeting rooms for the General Assembly and its main committees, regional and other intergovernmental groups;
  • Replaces, as needed, senior staff in the servicing of meetings and in making daily meeting room reservations;
  • Briefs new and temporary staff as appropriate;
  • Assists relevant officials and delegates in the meeting room on meeting-related matters;
  • Supports meeting rooms set-up:
  • Supervises set-ups and dismantling of exhibitions and
  • Performs other related duties as required.

    Education High school diploma or equivalent is required.

    Job - Specific Qualification Passing the UN's Global General Services Test (GGST) is required. Please refer to the Special Notice section for additional information about the GGST.

    Work Experience A minimum of four (4) years experience in conference support or related area is required.

    Experience in setting up and dismantling of exhibitions is desirable.

    Languages English and French are the working languages of the United Nations Secretariat. For the post advertised, fluency in English is required. Knowledge of French is desirable. Knowledge of another official United Nations language is an advantage.

    Assessment Evaluation of qualified candidates may include a substantive assessment which may be followed by a competency-based interview.

    Special Notice This position is subject to local recruitment pursuant to staff rule 4.4 of the United Nations Staff Rules. Passing the Global General Service Test (GGST) is a prerequisite for recruitment consideration in the General Services and related categories in the United Nations Secretariat.
