Result of Service Provide assistance in the Stamp and Mail Operations Unit. Sale of philatelic products and the reproduction of personalized stamp sheets for visitors and customers at the Vienna sales counter. Timely and proper franking, cancellation and dispatch of all mails and philatelic orders to UNPA customers. Deposit all sales revenue in UNPA bank account within 24 hours. Generate daily and monthly sales reports. Ensure timely stock replenishment, stock taking and maintenance of display inventory. Record stock movements in Umoja.

Work Location Location of work will be homebased at UNPA Vienna, Vienna International Centre, Wagramerstrasse 5, 1400 Vienna, Austria.

Expected duration 13 December 2021 - 31 March 2022 (with the possibility of extension)

Duties and Responsibilities Under the direct supervision of the Supervisor, Mail Operations and overall guidance of the Officer-in-Charge, UNPA Europe, the contractor will provide assistance in the Stamp and Mail Operations Unit. Act as counter salesclerk at the UNPA Sales Counter and Personalized Stamp Shop, including answering customers’ queries, handling cash and credit card sales, timely banking of sales revenue, generating daily sales reports, processing and franking of mails deposited for delivery and managing the counter stock of UN stamps and philatelic materials. Additional duties include stock replenishment, preparing and generating monthly reports, and maintenance of display inventory. The contractor will also set up the photographic, computer and printing equipment needed to reproduce personalized stamp sheets for visitors and customers at the Vienna sales counter. Perform monthly counter stock taking, ensure accuracy of physical stock inventory and reconcile with SAP figures. Pull out stock from the shelves and prepare materials needed for order fulfilment in a timely manner. Record stock movements and create Reservations in SAP. Prepare reject stock for damaged or faulty materials returned by customers. Maintain records and accurate recording of number of pieces of all mails received at the counter for dispatch. Keep and provide monthly records of sales and bank deposits. Provide other statistical information as required. Assist in stock taking.

Qualifications/special skills Academic Qualifications: - A high school diploma is required. Experience: - At least 3 years of relevant experience in the areas of sales and sales module SAP system is required. - Ability to work with figures and pay attention to details is required. - Good knowledge of Microsoft Office Excel and Word is required. - Good manual skills to handle stamps and other philatelic products is required. - Good knowledge of UNPA philatelic products is desirable. - Good knowledge of postal rules and regulations is desirable. - Experience with MegaStamp system (to process customer inquiries and related orders) is desirable. - Professionalism, client orientation and accountability is required. - Flexibility is desirable. Language: English and French are the working languages of the United Nations Secretariat. For this post, fluency in oral and written English and German is required. Knowledge of another official United Nations language is an advantage.
