NRC in Ukraine

The Norwegian Refugee Council has been present in Ukraine since 2014, helping more than 700,000 people with food, shelter, water, sanitation, and legal assistance. The rapid change of situation in February 2022 during which the whole of Ukraine became affected by the conflict required a significant scale-up of emergency programmes. Today NRC is providing support to people affected by armed conflict and those fleeing in search of safety.

Prior to the escalation in armed conflict in February, NRC’s operations focused on government-controlled areas (GCA) of the Donbas Region (Luhansk and Donetsk Oblasts). Following the February 2022 invasion, NRC has implemented a temporary relocation of NRC’s staff and operations to Central and Western Ukraine. NRC will continue to support populations in the East through our office in Dnipro with emergency, life-saving food, NFI and emergency shelter assistance to people trapped in hot zones. In the West, NRC established area offices in Lviv and Ternopil, with the country office based in Kyiv. Additionally, NRC is looking to establish additional field offices in the north and east of the country. The Western response will focus on assisting people on the move with cash and ICLA services and provide multi-sectoral support to key transit points. The Eastern response is focusing on the provision of shelter assistance, ICLA, livelihoods and food security, WASH, and protection assistance.

Purpose of the role

The Logistics Technical Assistant – Securing Supporting Documentation (SSD) is responsible for creating a proper folding system as per SSD policy and updating it regularly on the NRC shared point. The position holder is also responsible for communication with other logistics and procurement departments in order to obtain all necessary documentation, check if the documentation is accurate, reconcile, scan, ensure proper digital filing and coding as per the given legends.

What you will do

  1. Adhere to NRC policies, handbooks, guidelines, and donor requirements.
  2. Assist with the implementation of the logistic function’s portfolio according to the Plan of Action
  3. Prepare and develop status reports as required by management.
  4. Ensure proper filing of all support documents
  5. Assist in the planning and delivery of logistic activity.
  6. Maintain logistic records, suppliers and equipment.
  7. Promote and share ideas for improvement of the logistic function.
  8. Perform other duties, as assigned by the Line Manager

Specifically you will;

  • Request and collect all required documentation from the relevant logistics staff which needs to be scanned and archived in the SSD folder
  • Strictly follow the SSD NRC policy on the filing process
  • Ensure that provided records and documents are accurate, and up-to-date and archive them as appropriate.
  • Prepare periodic reports as needed and by using NRC logistics tools/templates.
  • Organize monthly reconciliation and documents quality verification.
  • Ensure accurate records and that dully signed and complete documentation are securely stored; and immediately report losses, damages or discrepancies.
  • Coordinate and facilitate timely reporting of eventualities
  • Where required, interact with other staff, in relation to deliveries of documentation
  • Provide any other relevant support as requested by line manager

    Professional competencies

  • Bachelor’s degree in relevant field.

  • Minimum 1 year of experience working in a humanitarian organization and experience in Warehousing.
  • Previous experience from working in complex and volatile contexts.
  • Good English level.
