Job Description (Internal)

A job description is a written statement that describes the employee’s role and responsibilities. The role and responsibilities shall be executed within the NRC framework. Position: Logistics Officer

Reports to: Logistics Coordinator

Supervision of: N/A

Duty station: Juba

Travel: 25%

Project number: This position will be filled subject to the approval of funding from donor.

Duration and type of contract: Until 31 March 2023

  1. Role and responsibilities

The purpose of the officer position is day-to-day implementation of the ERM logistics functions responsibilities.

Generic responsibilities

  1. Ensure adherence with NRC policies, tools, handbooks and guidelines
  2. Implement delegated support function portfolio according to plan of action
  3. Prepare and develop status reports as required by management
  4. Ensure proper filing of documents
  5. Promote and share ideas for improvement of the support function

Specific responsibilities

  • Support in preparing procurements plans for new projects and make follow up on PR raising as per the plan
  • Coordinates with procurement ,warehouse and program staff for the delivery of goods works and services
  • Coordinate flight bookings with Admin to ensure all TARs for travelling staff are raised and booked timely
  • Ensure stock check and verification are done accordingly for accurate stock records
  • Support in procurement follow ups with the country procurement team
  • Support in preparing price list for PR raising
  • Work with Juba office to provide regular procurement tracking reports
  • Work closely with Logistic Coordinator, Manager, project coordinators and Finance / Admin to prepare quarterly procurement plans.

  • Ensure that the warehouse system is in accordance with NRC and Donor requirements

  • Generate and disseminate monthly stock reports
  • Ensure procedures for management of Assets are in place and followed
  • Ensure an accurate, monthly asset list and inventory report are shared with Juba office.

  • Any other responsibilities as delegated by the supervisor.

Competencies are important in order for the employee and the organisation to deliver desired results. They are relevant for all staff and are divided into the following two categories:

Generic professional competencies:

  • A South Sudanese Nationals with all the requisite national documents.
  • Experience from working as a Logistics Officer in a humanitarian/recovery context

• Previous experience from working in complex and volatile contexts

• Documented results related to the position’s responsibilities

• Knowledge of English

Context/ Specific skills, knowledge and experience:

• Diploma or Degree in logistic related studies.

  • Good knowledge of market trends and able to negotiate prices with vendors
  • High-level competency in computer skills (Microsoft Windows and Office applications)

  • A proven track record in logistic with demonstrable 2-3 years’ experience

  • Must be able to prioritize and have excellent multitasking and documentation skills.
  • Good problem-solving skills, diplomatic and self-directed.
  • Able to handle pressure and remain focused
  • Ability to work in remote and hard to reach location
