What will you do in this position?

To effectively implement well-defined standard logistics/supply chain processes and activities to deliver goods and services for all modalities.

In accordance with WFP policies, procedures, and guidelines, the incumbent will perform business activities to support Country Office functions in Invoice Processing to deliver required services to ensure the efficiency of unit performance. The incumbent will provide a range of specialised support functions and/or lead a team performing standard logistics/supply chain processes and activities to deliver goods and services for all modalities effectively.

How can you make a difference?

Under the overall supervision of the Head of Funds Management Officer in the Supply Chain, at this level, the job holder has independent responsibility for technical, specialized work, including planning, organization, and coordination and setting objectives for all assistance modalities for both WFP and logistics standard services. T Job holders are expected to motivate and develop a team of support staff and/or are responsible for specialised support service(s) where the work is undertaken with the help of specially designed techniques, methods, and processes.

1. Provide specialized support to logistics operations and activities, following standard processes and contributing, directly or indirectly, to the effective delivery of food assistance to beneficiaries. 2. Coordinate invoice processing to authorised vendors for authorised transportation delivery. 3. Manage logistics vendors’ invoices, including age analysis monitoring and reporting. 4. Analyse all transport invoices received and map to the correct purchase order and to the correct commodity accounting Transport Order. 5. Create purchase orders in the WFP internal system and proceed with transport waybills to the correct Transport Orders where required. 6. Manage complex operational issues and provide solutions or recommendations related to all assistance modalities, using initiative and following processes, to ensure the provision of timely resolutions with an excellent client service mindset. 7. Coordinate with the commodity accounting unit to ensure data quality and integrity. 8. Perform analysis, undertake vendor reconciliations for Transport vendors, and produce overdue analysis and feedback on invoice status, providing insight and recommendations that enable informed decision-making. 9. Coordinate and liaise with internal and external stakeholders to support logistics invoice processing management and strengthen partnerships with vendors. 10. Manage a team(s) of staff providing technical advice, coaching, guidance and training to ensure individual and team objectives are delivered to agreed standards and deadlines for all assistance modalities. 11. Participate in logistics emergency preparedness and response activities related to Transport Invoicing. 12. Any other Invoice processing support as required for transporter invoices.

Education: Completion of secondary school education. A post-graduate in the related functional area is desirable.

Language: Fluency (oral and written) in English and the duty station’s language.

Experience: At least one (1) year of post-graduate professional experience in creditors and /or management accounting with accounts analysis and/ or Logistics operations.

Knowledge and Skills :

⦁ Experience in analyzing operational context and trends. ⦁ Experience in supporting analytical and conceptual work on supply chain strategy and implementation. ⦁ Experience in designing plans and operational scenarios in collaboration with key internal and external stakeholders ⦁ Experience in analyzing end-to-end supply chain operations. ⦁ Experience working with supply chain information systems. ⦁ Experience in troubleshooting and solving operational issues.
