UN Women has been in Afghanistan for two decades. UN Women’s programming approach is informed by analysis of the political, economic and humanitarian situation, risks to and capacities of partner organizations, and needs of Afghan women and girls. UN Women Afghanistan currently has four key programme priorities: (1) Gender in Humanitarian Action, (2) Ending Violence Against Women, (3) Women’s Economic Empowerment, and (4) Women, Peace and Security.

Under the supervision of the Operations Manager the Logistics Clerk provides general administrative and logistics support as well as general financial and procurement support to the Afghanistan Country Office (ACO). The Logistics Clerk is also responsible for ensuring reliable and safe driving services to the UN Women Representative and other high-ranking UN officials and visitors ensuring the highest standards of discretion and integrity, sense of responsibility, and excellent knowledge of protocol and security issues.

The Logistics Clerk demonstrates a client-oriented approach, courtesy, confidentiality, tact and ability to work with people of different national and cultural backgrounds.

Duties and Responsibilities

  1. Provide general administrative and logistic support
  • Assist office staff in filing, photocopying and maintaining required records;
  • Assist in the mailing and distribution of documents or other items; obtain receipts of delivery;
  • Maintain inventory of office supplies; distribute to staff as necessary;
  • Provide administrative support to in organizing conferences, workshops, retreats;
  • Provide administrative support in preparing presentation materials;
  • Provide administrative support as needed in reconciling annual leave on a quarterly basis.

    2. Provide general financial and procurement support and ensure availability of all required documents/supplies

  • Process non-PO vouchers in coordination with Finance Unit;

  • Create e-requisition and micro-purchasing solicitations;
  • Issue travel requests, travel claims and expense reports;
  • Process payments based on purchase orders (PO vouchers);

  • Maintain and ensure availability of all required documents/supplies including vehicle insurance, vehicle logs, office directory, and map of the city/country, first aid kits, and necessary spare parts in the assigned vehicle.

    3. Provide reliable and secure driving services

  • Drive office vehicles for the transport of the UN Women Country Representative and other high-ranking officials;

  • Make alternative logistical arrangements for transport requests as appropriate;
  • Deliver and collect mail, documents, and other items to Government – Offices/Consulates/Commercial Establishments/ other UN System Offices;
  • Meet official personnel and visitors at the airport including supporting with visa and customs formalities arrangements when required;
  • Verify that all passengers wear seatbelts at all times in the vehicle;
  • Oversee and ensure that all immediate actions required by rules and regulations are taken in case of involvement in accidents;
  • Oversee and ensure that all vehicles comply with the Minimum Operating Security Standards (MOSS).

    4. Proper use of vehicle

  • Ensure cost-saving by driving responsibly;

  • Maintain daily vehicle logs, daily mileage, gas consumption, oil change, servicing, greasing, and repairs;
  • Prepare and maintain data of the vehicle maintenance plans and reports.

    5. Day to day maintenance of the assigned vehicle

  • Ensure that all official vehicles are kept clean and in good working condition;

  • Make minor repairs and arrangements for major repairs;
  • Change oil, check tires, lights horn, clutch and brakes and wash car regularly etc.

    6. Perform other duties as assigned by supervisor

  • Quality and timeliness of administrative, logistics, financial and procurement services

Required Skills and Experience

Education and certification:

  • Secondary education is required.
  • Valid driver’s license is required.

  • A minimum of four (4) years of relevant experience as a driver in an international organization, embassy, or UN system with a safe driving record.
  • Experience in providing basic administrative services.
  • Prior experience in personal protection for governmental or executive VIP.

Language Requirements:

  • Fluency in English, Dair and pastho are required.
  • Knowledge of the other UN working knowledge is an asset.
