ORGANIZATIONAL CONTEXT

These jobs are found in Headquarters (HQ), Regional Bureaux (RBs) and Country Offices (COs) and Area/Field Offices. Under the overall supervision of the National Logistics Officer (Funds management), the job holder will perform the requires task as set out below. At this level, job holders are expected to take responsibility for completion of a range of processes and activities requiring some interpretation of standard guidelines/practices for all assistance modalities for both WFP and logistics common services.

JOB PURPOSE

To ensure that data and information pertaining to WFP stocks in the region and ex Suppliers in South Africa are fully captured reconciled in a timely manner, in order to facilitate for smooth and expedient Resource Transfer of stock balances from closing projects to the new Country Strategic Programmes (CSPs) and Interim Country Strategic Programmes (CSPs), as part of IRM activities.

Under direct supervision of the Logistics Associate, and within context of transition of current project framework to the new Country Strategic Programmes (CSPs) and Interim Country Strategic Programmes (CSPs), related to Corporate Integrated Road Map (IRM), the incumbent will perform the following key responsibilities.

KEY ACCOUNTABILITIES (not all-inclusive)

1. Collect and collate data and information on Project Closure dates for all projects in the region, derived from Closure Alerts, Corporate Systems (WINGS/LESS), and communication with Programme Unit (Project Cycle Management – PCM), and other sources, and disseminate alert reminders to Resource Transfer focal points in the region. 2. Data entry for Global commodity management facility (GCMF) sales execution before Intertek captures Logistics Execution Support System (LESS) dispatches 3. Data entry to containerize all FOB contracts (Third party does not have this provision) 4. Data entry support to Namibia and Angola when required 5. Weekly follow up with unconfirmed receipts 6. Prepare daily uplift and sourcing overview report for L2 & L3 countries as and when required. 7. Follow up on capturing of all the manual waybills from the Supplier warehouse into Logistics Execution Support System (LESS) as and when required. 8. Stuffing all the FOB containers at Durban Port as per their container and seal numbers. 9. Facilitating the creation of Storage locations availability on WFP Information management system (Logistics Execution Support System). 10. Processing Handover to Corporate Partners. 11. Follow up with Headquarters Logistics Support on vendor and customer creation for Country offices under the region. 12. Any data capturing that may be required remotely by country offices. 13. Perform any other duties related to stock cutover and Resource Transfers, as and when required.

STANDARD MINIMUM QUALIFICATIONS

Education: Completion of first Secondary School Certificate and Certificate in a field related to Logistics/transport activities, data analysis/management, Finance and accounting, business administration and information technology

Experience:Two years of experience in Supply chain related duties. Knowledge of using WFP systems is an added advantage

Language: Proficiency in writing and verbal communication in English is requisite.

OTHER SPECIFIC JOB REQUIREMENTS

Knowledge on designing basic supply chain networks, including appropriately assessing and escalating challenges to ensure that WFP is able to provide consistent and uninterrupted service to its beneficiaries and partners. Ability to collect and analyse relevant technical data from diverse sources to forecast operational needs under various scenarios and make evidence-based proposals. Excellent knowledge of standard computer applications including word processing and spreadsheets. Knowledge of SAP and relational database management systems is desirable. Knowledge on Accounting and analysis.

TERMS AND CONDITIONS

  • This is a 1 Year renewable Service Contract
  • Net monthly salary range: R20 404.00 - R24 522.00
