JOB TITLE: Logistics Assistant - Oversight and Business Support

DUTY STATION (City, Country): Port-au-Prince, Haiti
DURATION: 12 months (renewable)

ORGANIZATIONAL CONTEXT
The Supply Chain Assistant will support effective coordination, documentation, compliance, and performance tracking of supply chain operations. The role is essential to ensure that all processes, records, and reporting requirements are organized, up to date, and aligned with organizational standards, audit requirements, and supply chain best practices.
JOB PURPOSE
The primary purpose of this position is to strengthen supply chain governance, compliance, and performance management by ensuring proper documentation, systematic follow-up, and coordination across supply chain teams.
KEY ACCOUNTABILITIES (not all-inclusive, within delegated authority):
- Process and manage routine administrative and financial tasks in various functional areas, to contribute to the effective and timely management of resources
- Knowledge management Maintain WFP Haiti Supply Chain information – Share point, Manual files by unit – Maintain the structure, check that contents are maintained and updated with all historical files including the latest updates.
- Staff list and staff structure: Maintain most updated staff list with contact details, job description, terms of reference, location, leave plans etc, circulation of code of conduct, follow-up on staff to ensure performance evaluations and mandatory trainings are completed. Arrange for supply chain staff on-boarding making sure all staff are workplace ready, workspace and asset ready.
- Maintain guideline, Standard operating procedures for supply chain: Maintain a List of CO specific SOP, description and purpose. Ensure appropriate storage of latest SOP is maintained and ensure record of staff briefing on the SOPs.
- Supply Chain workplan & Risk Register –Work with the head of supply chain and heads of units to prepare the workplan and risk registers by supporting organization of the workplan and risk register meetings / workshops, Collating inputs from all units, consolidating the inputs, circulate workplan & risk register for review and validation by head of supply chain, and file the finalized document. Responsible for maintaining the latest workplan & risk register, workplan and risk register review reports and any changes to the supply chain workplan and risk register.
- Supply Chain reporting. Working with each unit lead, Collate and compile supply chain report from weekly reports, monthly, quarterly and annual reporting. Proof-read reports, documentation, correspondence, etc., making changes in line with established guidelines where appropriate. Circulate the reports for supply chain clearance and endorsement before publication.
- Supply Chain Meetings – Working with the head of supply chain, schedule regular supply chain meetings including head of units, all Supply Chain staff meetings, inter departmental meetings, and external meetings. Maintain meeting minutes and an update of follow-up actions.
- Delegation of authority – Maintain a list of delegation of authority, follow-up with all key staff to ensure all delegation is granted timely and any changes made to ensure appropriate staff have access to systems and decision making.
- Follow-up on Key compliance requirements – Follow-up with head of units to ensure completion of self-Assessment checklist, completion of Business continuity plan, ED Assurance exercise, Audit and oversight follow-up actions, and the country office and functional risk registers.
- Management of Supply Chain Travel plan: Collate unit travel plans, carry out initial logic checks against APP and approved supply chain operational plans and circulate for the head of supply chain approval. Follow-up to update travel mission execution and support with reporting on plan, execution and any changes required to meet key supply chain objectives. Support head of supply Chain travel planning.
- Management of Supply Chain Training plan: Collate unit training plans, carry out initial logic reviews against APP and follow-up for head of supply chain approval. Follow-up to report on achievement and update for any changes.
- Perform any other duties as required.
QUALIFICATIONS AND EXPERIENCE
Education: Completion of secondary school, preferably supplemented with a university degree in Economics, Commerce, Business Administration, Engineering, Legal or Accounting or other relevant field.
Experience: Five or more years of progressively responsible work experience in the related (Supply Chain, Logistics, Procurement, or Business Management) business stream with experience in general administrative work.
KNOWLEDGE & SKILLS:
- Knowledge of specialised common business practices and methods, gained through relevant technical training and experience.
- Ability to develop and maintain relationships with a range of individuals in order to provide a high-quality support service.
- Ability to carry out basic data analysis and independently rectify problems requiring attention.
- Ability to monitor and record financial transactions.
- Good communication skills required to give and receive information and work with a variety of individuals.
- Ability to maintain confidentiality.
Language: Fluency (level C) in English and French.
