This position as Logistics Assistant is located in the Transport Management Unit of the Transport Centre in UNICEF Supply Division. The incumbents will coordinate, and monitor activities related to the global freight forwarding contracts, EDI monitoring, rates management, and carrier collaboration to ensure timely and cost-effective activities, with the overall goal of meeting the needs and requirements of UNICEF assisted programs and Procurement Service customers.

Purpose of the Job

Under the supervision of the Shipping and Logistics Specialist in the Transport Management Unit, the Logistics Assistant performs all activities in compliance with the UNICEF Financial Rules and Regulations, Supply Division Manual and other applicable procurement procedures in order to ensure timely deliveries including:

MAIN DUTIES/RESPONSIBILITIES:

Summary of key functions/accountabilities of the Logistics Assistant:

  1. Support for the TMU Team – management of the team mailbox, organize regular meetings with internal and external partners, assist with preparation of documents, updating logs and reports, updating/maintaining SOPs, etc.
  2. Assist with freight PO closure, liaising with TMU team colleagues, the finance team and the UNICEF global service centre (GSSC).
  3. Complaints – Support the Transport Centre Complaints Focal Point by monitoring outstanding cases, liaising with, and assisting complaint owners and partners/forwarders to achieve timely closure of cases, quality assurance and insurance teams, registering/updating in the UNICEF CICA system.
  4. Monitor forwarder invoice performance on SharePoint – reporting, following up with forwarders, GSSC, other TMU colleagues to address/resolve issues.
  5. Develop/maintain register of service provider issues, KPI anomalies, deviations from contractual obligations, etc.
  6. Verification content of biannual reconciliation statements by FFs, brining anomalies to the attention of the TMU Team Leader.
  7. Assist TMU Focal Points with EDI overview reporting – produce/assist producing reports sent to each FF and monitoring responses, following up when not received, etc., and assisting FF Focal Points in TMU to action simple solutions, e.g., shipment completion, etc.
  8. Any other duties or assignments as requested by the supervisor.

Good interpersonal and communication skills to ensure effective working relationship with suppliers, customers and colleagues, and be well organized and ability to meet the high demands.

Required:

  • Completion of secondary education with additional training in administrative support and data/reporting or a related field. Knowledge of supply chain and/or logistics an advantage.
  • At least 5 years of relevant working experience in administrative or support roles with knowledge of logistics operations, international shipping, and reporting
  • Advanced Excel skills
  • Fluency in English.
  • Valid work permit and residency in Denmark at the time of submitting the application. Note that the selected candidate is responsible for obtaining any required extension of their residency permit as an extension cannot be dependent on an employment with UNICEF.

Desirable:

  • Advanced MS Excel knowledge or experience in reporting
  • Knowledge of PowerBI or other business intelligence applications
  • Proficiency in additional UN Language (Arabic, Chinese, French, Russian, Spanish).
