You have:

  • Safe driving record with the UN or other international organizations is required.
  • Experience driving a 4 x 4 vehicle is an asset.
  • Experience with protocol and operations of the Immigration Department and the Ministry of Foreign Affairs.
  • Experience dealing with custom clearance procedures in Zambia.
  • Excellent interpersonal skills; culturally and socially sensitive; ability to work inclusively and collaboratively with a range of partners, including grassroots community members, religious and youth organizations, and authorities at different levels; familiarity with tools and approaches of communications for development.
  • Ability to work and adapt professionally and effectively in a challenging environment; ability to work effectively in a multicultural team of international and national personnel.
  • Solid overall computer literacy, including proficiency in various MS Office applications (Excel, Word, etc.) and email/internet; familiarity with database management; and office technology equipment.
  • Self-motivated, ability to work with minimum supervision; ability to work with tight deadlines.
  • Sound security awareness.

Contract

The Economic Commission for Africa's (ECA) mission is to deliver ideas and actions for an empowered and transformed Africa; informed by the 2030 Agenda and Agenda 2063. The mission will be guided by ECA's five new strategic directions which are: Advancing ECA's position as a premier knowledge institution that builds on its unique position and privilege to bring global solutions to the continent's problems and take local solution to the continent; developing macroeconomic and structural policy options to accelerate economic diversification and job creation; designing and implementing innovative financing models for infrastructure, and for human, physical and social assets for a transforming Africa; contributing solutions to regional and transboundary challenges, with a focus on peace security and social inclusion as an important development nexus; advocating Africa's position at the global level and developing regional responses as a contribution to global governance issues.

This position is in the Sub Regional Office for Southern Africa - SRO/SA, Lusaka, Zambia.

Under the guidance and direct supervision of the Administrative and Finance Officer, UNECA Zambia, the Logistics Assistant/Driver will undertake the following tasks:

Provider effective administrative, logistics and customs clearance support to the Sub Regional Office for Southern Africa (SRO-SA) operations.

Customs and Clearing • Timely coordinate logistics related matters such as tracking international shipments and pre-shipment customs clearance activities including obtaining import permits as required, product registrations, arranging waivers, etc., with the Administrative Unit of SRO-SA. • Handle and facilitate customs clearance of SRO-SA shipments coming from ports and airports, including all cycle of paperwork, and follow-ups with customs. • Coordinate with Custom Clearing and Forwarding agents on a day-to-day basis to ensure timely clearance of supplies from the ports of entry. • Ensure timely completion of customs clearance procedures. • Maintain a file of a full set of documentation for every shipment in accordance with organizational requirements.

Efficient provision of reliable reception, transportation and safe driving services • Facilitate processing of visas, diplomatic/work permits, driving licences for staff as required. • Meet/escort SRO-SA visitors/guests at airport when requested to facilitate and expedite their entry/exit/transit at Kenneth Kawanda International Airport (KKIA). • When requested, assist in handling claims of lost luggage for UNECA staff. • Drive UN officials and staff providing reliable and safe driving services by driving office vehicle for the transport of SRO-SA staff and missions. • Keep abreast with traffic and road and security and safety awareness to enable safe and on time arrival for meetings.

Procurement and shipment of goods • Support with office procurement of goods and services based on SRO-SA needs in accordance with UNECA policies and procedures. • In coordination with the SRO-SA Administrative Team, obtain quotations for the procurement of goods and services when requested, • Follow up on orders to ensure timely delivery of goods and services as stipulated in the purchase orders and contracts. • Ensure that issues of late/non-deliveries, missing items/quantities, quality related issues are addressed on a timely basis.

UNECA vehicles management and maintenance in Lusaka • Ensure proper day-to-day maintenance of the assigned vehicle and timely minor repairs. • Monitor assigned vehicles usage; schedule and coordinate their regular maintenance and repair with drivers’ supervisor to ensure operational efficiency and minimize downtime. • Keep daily vehicle logs; and assist in the preparation of vehicle maintenance plans and history reports. • Monitor and recommend vehicle warranty recovery, as well as confirming repair schedules with vendors. • Maintain detailed records of vehicle servicing and inspection. • Ensure availability of all required documents/supplies including vehicle insurance, vehicle registration, vehicle logs, office directory, map of the city/country, first aid kit, and necessary spare parts in the assigned vehicle. • Ensure that the steps required by rules and regulations are taken in case of involvement in a road traffic accident.

Performing other operational tasks when necessary • Assist the Administrative Team in tracking and initiate renewal of visas, work permit, driving permit when they are due to expire. • Support with renewal of vehicle insurance and maintenance.

Zambia is a land-linked, resource-rich country with sparsely populated land in the centre of Southern Africa. It shares its border with eight countries (Angola, Botswana, Democratic Republic of Congo, Malawi, Mozambique, Namibia, Tanzania, and Zimbabwe) that serve as an expanded market for its goods.

Lusaka is the capital of the Republic of Zambia. The climate is sunny and temperate, but it can be very cold during few months, with freezing temperature at times especially during the night. It is therefore advisable to bring warm clothing and foresee using heaters and other heating options when necessary. As the commercial and cultural centre of Zambia, Lusaka has seen rapid development in recent decades, with reasonable transportation connections and widely spoken English making the city highly attractive to vacationers and experts alike. Unemployment and poverty are issues in the city, and beyond. Key industries for the region and Zambia as a whole, include mining, agriculture, and tourism. Like most Southern African cities, life in Lusaka will require some adjustments for a person moving from outside the region, but the potential rewards and opportunities for experiences are well worth the effort.

Lusaka hosts several international organisation and embassies/diplomatic missions, therefore there is a very large community of expatriates from around the world. Housing is most of the time readily available and of good standard options are available. Most foodstuffs, beverages, household goods, furniture, and clothing, mostly imported from South Africa, Europe, and China while some ranges of local brands are available at a competitive price to imports. Meat, fish, fresh fruits, and vegetables are reasonably priced and abundantly available.

The basic infrastructures roads, utilities, and telecommunications are of reasonable standard, although the city experiences power outages from time to time. Medical facilities are still largely inadequate, although several private clinics and hospitals provide reasonably good routine care. Several restaurants around the city serve local or international cuisine and there are numerous social and sports facilities (fitness, tennis, swimming, riding, golf, etc.) in the major hotels or in different establishments around the city.
