JOB PURPOSE

To implement well-defined standard logistics/supply chain processes and activities to enable effective delivery of goods and services for all delivery modalities.

KEY ACCOUNTABILITIES (not all-inclusive)

1. Provide support to logistics operations and activities, following standard processes and facilitating the effective delivery of food assistance to beneficiaries. 2. Support timely ordering and delivery of commodities and supplies to authorized partners and destinations. 3. Perform assigned contracting-related tasks under the overall guidance of the supervisor. 4. Support management of logistics vendors' contracting activities, including collection and compilation of vendor data, and vendor creation/amendment/deletion in the corporate system. 5. Assist in logistics vendors' contracting activities, including performance monitoring and measurement. 6. Respond to queries/requests for support, following standard processes, and obtaining guidance as required, to ensure timely and accurate resolution of all inquiries with a high standard of client service mindset. 7. Maintain a filing system of records, whether manual or digital, as required. Prepare records of contact details of different types of vendors on various shortlists. 8. Collect and compile data, produce reports, and ensure information accuracy in corporate systems to support informed decision-making. 9. Gather market intelligence and conduct vendor assessments to support the vendor selection process. 10. Float RFQs and conduct opening of offers through the corporate tendering system. 11. Enter data of offers received in response to RFQs in Excel formats, ensuring confidentiality and accuracy. 12. Assist in processing documentation related to contracting, including the issuance of Regret Letters through the corporate tendering system. 13. Make follow-up calls to vendors and clearly communicate for the speedy collection of required information or documentation. 14. Liaise with internal and external stakeholders to support logistics contracting management. 15. Take appropriate actions to resolve issues, and when necessary, escalate issues to the supervisor for proper resolution. 16. Provide guidance to other support staff to assist them in completing tasks to agreed standards and guidelines 17. Perform any other tasks requested by the supervisor

STANDARD MINIMUM QUALIFICATIONS AND EXPERIENCE

Education: Completion of secondary school education. A post-secondary certificate in the related functional area of Legal, Supply Chain, Economics, Business Administration, Engineering or other is desirable Experience: Minimun 5 years of experience in supply chain management and 3 to 4 years of experience in working in digital tendering system Strong experience in procurement, tendering, contract management and execution. Experience working in logistics sector a plus

Languages: English and Urdu.

This job will be based in CO Islamabad, Pakistan and job holders will report to Logistics Officer, a Head of Unit, or the designate. At this level, job holders are expected to take responsibility for completion of a range of processes and activities requiring some interpretation of standard guidelines/practices for all assistance modalities for both WFP and logistics common services. Job holders are able to recommend a course of action to staff at various levels and may allocate tasks to other support staff.
