Result of Service The Property Control & Logistics and Commissariat Unit (PCL) is responsible for all asset receiving, asset management, and Inventory database for all of ICAO HQ and Regional Offices. PCL is also responsible for mail, diplomatic pouch and management of the Commissariat.

Duties and Responsibilities THE ORGANIZATIONAL SETTING: The International Civil Aviation Organization (ICAO) sets international Standards and Recommended Practices (SARPs) for aviation safety, air navigation, security and environmental protection. To that effect, ICAO is a knowledge-based organization engaged in the development of intellectual property. The Bureau of Administration and Services (ADB) plays a lead role in the effective and efficient administrative management of the Organization by ensuring the provision of high-quality physical and human resources, by applying the highest standards of work ethics and conduct, and by using results-based management skills and tools to support the Organization in implementing its Strategic Objectives, in order to serve all stakeholders of the world aviation community.

The Property Control & Logistics and Commissariat Unit (PCL) is responsible for all asset receiving, asset management, and Inventory database for all of ICAO HQ and Regional Offices. PCL is also responsible for mail, diplomatic pouch and management of the Commissariat. The incumbent reports directly to the Head, Property Control, Logistics and Commissariat who assigns tasks, and decides on priorities. The incumbent is expected to work under the general supervision of the H/PCL, with whom s/he consults on complex technical matters.

MAJOR DUTIES AND RESPONSIBILITIES: Function 1 (incl. Expected results) Carries out regular inventory controls jointly with multiple organizational entities and makes recommendations to H/PCL on repairs, replacements and purchase of new items, achieving results such as: - Assist in regular conduct of physical inventory jointly with multiple organizational entities (such as ICT, etc.); - Coordinate with event focal point for incoming and outgoing material; - Follow-up daily with Delegation for incoming goods and events; - Assist in regular incoming deliveries including the shipment across Canada - Prepare a weekly report of incoming diplomatic and transport company; - Assist of all operations in the Receiving and Shipping area.

Function 2 (incl. Expected results) Assists with the Commissariat activities and sales achieving results such as: - Assist with the commissariat cash during regular store hours (Tuesday and Thursday 1200-1400 hours) and special store hours for large events; - Update weekly profiles as required during regular store hours (POS); - Store products (moving of cases of up to 15 kg); - Keep the commissariat store updated and well organized; - Assist in providing support for the Retail Management System to cashier (Microsoft RMS); - Assist in reporting periodically Sales and performance to the Commissariat Manager.

Function 3 (incl. Expected results) Monitors inventory status, including advising supervisor of the need for intervention in the case of any unforeseen problems, achieving results such as: - Prepare preliminary inventory documents and forms; - Maintain documents archives.

Function 4 (incl. Expected results) Assists with the Logistics’ activities and other duties as assigned, achieving results such as: - Coordinate access for Receiving/Shipping area with supervisor; - Register all incoming daily mail (Canada Postal) and couriers; - Coordinate the access for all incoming and outgoing material for internal and external events with supervisor; - Maintain and update the document filing system.

Function 5 (incl. Expected results) Assists the Regional Offices regarding inventory requests, achieving results such as: - Receive requests from Regional Offices concerning inventory assets; - Assist to maintain Excel assets monthly records of Regional Offices data; - Report weekly feedback to PCL Assistant regarding IT and Non-IT assets; - Prepare preliminary Write-Off lists for Regional Offices.

Function 6 (Incl. Expected Results) Performs other duties, as assigned.

Qualifications/special skills Education: Essential - Successful completion of secondary education.

Desirable - CEGEP or equivalent education. - Additional training or certification in business administration, finance, Inventory management, logistics, retail management, wines and spirits industry or duty-free retail industry, or related field.

Professional Experience: - A minimum of 5 years progressively responsible experience in inventory management, auditing, statistics counting, or retail management, preferably in the field of duty free or wines and spirits, or related field is required - Proven experience in shipment, import and export is required

Languages Essential - Fluent reading, writing and speaking abilities in English and French.

Desirable - A working knowledge of any additional official languages of the Organization (Arabic, Chinese, Russian, Spanish).

Additional Information It should be noted that this post is to be filled for a period of 11 months with a possibility of an extension. This is a full-time position.

Please note that the monthly rate for Band A varies from $3,991 to $5,172 per month.
