You have:
- Master's degree or equivalent required
- At least 10 years experience in providing administrative and/or logistic support to a development project
- Fluent in English
- Fluent in Nepalese (optional)
- Knowledge of UN/UNFPA agenda and mandated areas of work
- Solid overall computer literacy, including proficiency in various MS Office applications
- Excellent oral and written skills; excellent drafting and formulation skills
- Ability to work in a multicultural team effectively
Contract
This is a UNV National Expert contract. This kind of contract is known as National UN Volunteer. It is normally only for nationals. More about UNV National Expert contracts.
Eligibility criteria
Minimum age: 35 years old. Applicants must nationals of or legal residents in the country of assignment.
Description of task
Within the delegated authority and under the supervision of International Operations Manager or his/her designated mandated representative(s), the UNV Logistics/Admin Officer will:
- Supervision of Administrative and Procurement Personnel, including monitoring Functions:
- Overseeing and monitoring implementation of corporate procurement and administrative policies and systems.
- Ensuring continuous flow of up-to-date information between office in Kathmandu and sub-offfices.
- Maintaining timely provision of goods and services.
- Managing negotiations following established procedures, regarding reviewing and awarding of contracts.
- Perform logistics and inventory management, as detailed below:
- Manages stores, warehouse of all commodities, supplies, consumables per project; and ensures Quality and Quantity control measures are in place;
- Ensures appropriate planning, implementation, monitoring and evaluation of the supply chain operations as well as oversees the preparation of documentation for all goods and commodities for donation;
- Monitors the status of incoming shipments, both from local and international, in close coordination with the Procurement Services Branch (PSB) and the Requesting Unit;
- Processes all necessary documentations for the Request for Exemption for all incoming shipments from abroad; and ensures that documents are ready and will be provided to the broker and forwarder before the arrival of shipment to the port of entry;
- Reviews, verifies and submits bills and/or invoices related to forwarding, warehousing, insurance and brokerage services provided by supplier/s to the Requesting Unit for Requisition;
- Processes logistics requirements for receipts of inventory whether at the customs, border points, airport, implementing partner site or UNFPA managed facility;
- Processes requests from programme teams and ensures follow-up action completed, including assisting with follow up of inventory reports from UNFPA implementing partner;
- Processes and updates Inventory Tracker, Receipt Inspection Reports, Delivery Slips and Programme Supplies Distribution Agreement;
- Ensures that inventory certification and independent verifications are timely prepared and maintained;
- Trains warehouse personnel on storage and record keeping on UNFPA kits (RH kits, Dignity kits, Kishori kits, etc);
- Maintains and keep administrative files, logs, inventories and update records in prescribed format for subsequent use.
Asset Management:
- Ensures proper control of CO Assets and its recording;
- Preparation of asset reports and certifications;
- Acts as Asset Focal point.
Any other related tasks as may be required or assigned by the supervisor.
Furthermore, UN Volunteers are encouraged to integrate the UN Volunteers programme mandate within their assignment and promote voluntary action through engagement with communities in the course of their work. As such, UN Volunteers should dedicate a part of their working time to some of the following suggested activities:
- Strengthen their knowledge and understanding of the concept of volunteerism by reading relevant UNV and external publications and take active part in UNV activities (for instance in events that mark International Volunteer Day);
- Be acquainted with and build on traditional and/or local forms of volunteerism in the host country;
- Provide annual and end of assignment self-reports on UN Volunteer actions, results and opportunities;
- Contribute articles/write-ups on field experiences and submit them for UNV publications/websites, newsletters, press releases, etc.;
- Assist with the UNV Buddy Programme for newly-arrived UN Volunteers;
- Promote or advise local groups in the use of online volunteering or encourage relevant local individuals and organizations to use the UNV Online Volunteering service whenever technically possible.
