Org. Setting and Reporting The post is located in the Local Transportation Team (LTT), Transportation Operations Unit, Travel and Transportation Section, FCAS/DOA/DOS. The incumbent reports to the Foreperson, Local Transportation Team.

The Department of Operational Support (DOS) provides operational support to UN Secretariat entities globally, including advisory, operational and transactional support services and, where needed, exercises delegated authority on behalf of clients. DOS supports the entire UN Secretariat, consisting of almost 100 entities located around the globe.

The Facilities and Commercial Activities Service (FCAS) operates the Headquarters complex, striving to provide effective and efficient planning, management, maintenance and operation for all existing physical facilities and assets at the UN Headquarters, New York. FCAS also supports office and conference facilities, property management, travel and transportation services, archives and records management, mail and pouch operations, catering, giftshop and the United Nations Postal Administration.

The Travel and Transportation Section provides travel and transportation services at UN Headquarters (travel, shipments management, UN travel documents (e-UNLP & UN Certificates), visas and host country services, local transportation, materials management and UNHQ garage operation

Responsibilities Under the direct supervision of the Foreperson of the Local Transportation Team and under the overall guidance of the Chief, Travel and Transportation Section, the Lead Mechanic is responsible for the following duties:

  • Provides assistance to the Foreperson with management of the Local Transportation Team;
  • Dispatches drivers to their daily assignments and reviews database logs for each driver for completion of assignments;
  • Identifies vehicles for varied assignments;
  • Arranges for the inspection of vehicles to ascertain nature of the problems and determine the most cost-effective method, whether repairs are to be performed in the on-site facility (LTT garage) or appropriate - dealership; ensures all maintenance work is prepared to specifications and that all vehicles are operating in peak condition;
  • Provides light vehicle repairs on-site and preventive maintenance for the UNHQ vehicle fleet, if required;
  • Verifies invoices with respect to maintenance and repairs services rendered by vendors;
  • Reviews vehicle maintenance database system for accuracy (comprehensive vehicle inventory, maintenance records of vehicles, drivers' data for Host Country requirements and UN Insurance Section);
  • Maintains: a) fleet monitoring system and b) on-line fleet management system;
  • Maintains electronic inventory of supplies and equipment for on-site garage;
  • Conducts market research and prepare specifications of the UN vehicles, equipment, parts and supplies for procurement exercises; assist with technical evaluations of bids;
  • Performs driving assignments when necessary;
  • In the absence of the Foreperson, performs supervisory functions.

    Competencies Professionalism: Demonstrates expert knowledge in vehicle fleet management including maintenance and repairs, local transportation. Knowledge of the New York metropolitan area, current conditions of roads, highways, tunnels, and bridges including height and weight restrictions, security and safety awareness. Familiarity with the frequently travelled routes and routines of the senior officials. Ability to deal effectively and tactfully with senior officials and apply good judgement in the context of assignments given. Demonstrates professional competence and mastery of subject matter. Is conscientious and efficient in meeting commitments, observing deadlines and achieving results. Is motivated by professional rather than personal concerns. Shows persistence when faced with difficult problems or challenges; remains calm in stressful situations. Education High School diploma or equivalent is required.

Work Experience A minimum of 7 years of progressively responsible experience in transportation management including vehicle fleet management and maintenance is required. Experience in fleet procurement is desirable. Experience in evasive/defensive driving is desirable.

Languages English and French are the working languages of the United Nations Secretariat. For this post, fluency in English is required. Knowledge of another official UN language is desirable.

Assessment Evaluation of qualified candidates may include an assessment exercise which may be followed by a competency-based interview.

Special Notice This position is temporarily available until 28 February 2022, with a possibility of extension, subject to funding availability.

If the selected candidate is a staff member from the United Nations Secretariat, the selection will be administered as a temporary assignment.

While this temporary assignment may provide the successful applicant with an opportunity to gain new work experience, the selection for this position is for a limited period and has no bearing on the future incumbency of the post.
