General Background of Project or Assignment, Operational Context:
The Skills & Leadership Section (SLS) contributes to strengthening UNHCR’s workforce capabilities by leading the Skills Strategy, delivering on performance management, careers and management and leadership development solutions. To reinforce internal knowledge flows, promote better access to SLS resources, and enhance communication across portfolios, SLS requires a dedicated affiliate to support knowledge management, SharePoint maintenance, and targeted communications tasks with additional admin tasks as required.
The affiliate will provide knowledge management, SharePoint administration, and light communications and design support for both the Management & Leadership portfolio and the Skills Strategy team. The role ensures that SLS resources are organized, accessible, and clearly communicated to colleagues across the organization.

Purpose and Scope of Assignment:
Concise and detailed description of activities, including measurable outputs and delivery dates, impact indicators (what qualitative and quantitative results would be achieved upon completion of individual contract), performance indicators (timelines, value of the service rendered in relation to the cost, timeliness) and work plan:
A. Knowledge Management
• Maintain and organize SLS knowledge assets, ensuring clear taxonomy, consistent naming conventions, and proper archiving. • Support structured repositories for the Leadership & Performance and Skills Strategy workstreams. • Conduct periodic content reviews and propose improvements to information flow and usability.
B. SharePoint Site Management
• Update and manage SLS Team SharePoint pages, ensuring accuracy, accessibility, and alignment with SLS’s information architecture. • Coordinate content updates with SLS technical focal points. • Monitor permissions, links, and content functionality, troubleshooting issues as needed.
C. Communications & Design Support
• Create flyers, banners, and simple visual materials using Canva to support SLS Programme visibility. • Lead coordination of events, webinars and other activities of the team. • Draft short announcements, updates, and internal communications for dissemination to UNHCR colleagues. • Ensure consistency with UNHCR branding and messaging guidelines.
D. Portfolio Support
Management & Leadership Portfolio • Support the maintenance of updated resources, Programme materials, and tools within the portfolio’s repositories. • Support communications around ongoing and upcoming leadership development initiatives. Skills Strategy Team • Organize documentation, frameworks, guidance, and other materials related to skills transformation. • Support the development of user-friendly summaries and communication to promote understanding of Skills Strategy milestones.
E. Administrative Coordination
• Support small tasks such as scheduling, consolidating inputs, or preparing materials for team meetings or webinars. • Maintain trackers, logs, or simple coordination tools as requested by the team.
Deliverables • Up to date and well-structured SLS SharePoint pages. • Clear, organized repositories for Skills Strategy and Management & Leadership portfolios. • Regular delivery of communication materials (short updates, flyers, one pagers) supporting SLS visibility. • Documentation and assets consistently maintained according to established KM standards.

Required qualifications, language(s) and work experience:
Field of expertise, competencies: Required/mandatory: • Experience in knowledge management, digital content organization, or SharePoint administration. • Strong communication and drafting skills. • Ability to produce simple, polished visual materials in Canva. • Strong organizational skills and attention to detail.
Desirable: • Understanding of UNHCR platforms, structure, and workflows. • Prior experience supporting HR, learning, or leadership development functions.
Minimum years of work experience (NOTE: candidates with less years of experience cannot be short-listed or recommended): 3 years of relevant experience with High School Diploma, or 2 years relevant work experience with Bachelor or equivalent or higher
