Job Title: IT Operations Assistant

Duration: 1 year (renewable)

Post Grade: General Service (G5)

Positions: Two (2)

Duty Station: Accra and Bolgatanga

Under the overall supervision of the Country Director, and the direct supervision of the IT Operations Associate, the IT Operations Assistant will be expected to perform the following duties:

Major Duties and Responsibilities

  1. Process all IT related requests and incidents from staff, devices, beneficiaries, field projects, CBT, SCOPE, partner support, complaints, and reports in the corporate ticketing management system. Follow-up technical escalations to resolution and closure within the acceptable timeframe. Generate monthly reports for management reviews.
  2. Process IT procurement and purchase requests documentations and transaction in accordance to standard procedures.
  3. Process IT related service and purchase invoices in corporate tracking system and ensure timely payment cycle completion.
  4. Review monthly itemized phone bills and invoices from services providers. Process monthly bills in the telephone management system for cost review and reconciliation with finance by staff.
  5. IT asset management focal performs physical counts, accounts for assets; ensure up to date information in GEMS, corporate inventory management system (GEMS).
  6. Focal for corporate mobile device management ensures all mobile devices assigned to staff are managed securely and device access/data security ensured.
  7. Perform regular systems and data backup.
  8. Assist CO/SO IT to provide effective support to end-user, IT infrastructure operations, field projects and inter-agency business operating strategy collaborations.
  9. Provide backstopping to IT staff in CO, SO and UNHRD for continuous excellent service delivery during annual leave and on travel missions.
  10. Perform regular quarterly preventive hardware maintenance.
  11. Provide support to conference room devices.
  12. Web portal administration.
  13. Work within the corporate standard ethics and data centric.
  14. Support other unrelated IT services delivered in the unit when required.

Minimum Academic Qualifications

A minimum of Diploma or City & Guilds or NVTI or original manufacturer professional certification in IT related field. Demonstrate practical hands-on knowledge is an advantage.

Desired Experiences for Entry into the role:

  • A minimum of five years of progressive work experience in supporting role in IT.

  • Professional IT certifications with excellent practical hands-on skill/experience in electronics, telecommunications, LAN administration, layer 3 cisco-switching device configuration, fortigate SD-WAN operations/ configuration, mitel unified communication system, room video conference systems and unified wi-fi LAN administration.

  • Demonstrate professional understanding, practical support and administration of emergency communications and connectivity systems includes VSAT, satellite, radio, terrestrial and GSM technologies.
  • Practical hands-on experience in mobile devices repairs/maintenance/troubleshooting, mobile device management, IT hardware/software procurement, inventory system management, security communications devices operations, security video surveillance / access controls in enterprise environment assessment, support/ installation.
  • Ability to demonstrate high flexibility with IoT devices setup/operations, AI system, customer services, general technician capabilities, technology support, desktop support, data entry and analysis.

Language: Fluency and Good Command of the English language is essential.
