Location: Osh, Kyrgyz Republic

Supervision received: IT Operations/Administrative Assistant reports to the Administrative and Finance Assistant as his line manager at Sub-Office (SO) level and reports technically to IT Operations Associate at County Office (CO) level

Duration of Employment: 12 months with possibility of extension

Job Content: 1. Carry-out of IT system and IT equipment maintenance tasks, such as back-up system data and system protection, to ensure they are running effectively and enable easy and efficient use.

2. Undertake basic monitoring and troubleshooting of server systems to ensure a consistent delivery of IT services to all staff.

3. Respond to basic queries about technology and systems to support the correct application of IT technologies.

4. Receive and inspect all incoming assets and report discrepancies in IT materials inventory to Administrative and Finance Assistant to ensure materials are effectively tracked.

5. Perform basic beta testing and support the roll out of new versions of centrally supported software to ensure software is operational for WFP staff.

6. Ensure information is up to date and accurate within inventories, databases, websites, and archives in order to support Administrative and Finance Assistant in managing these systems.

7. With direction from IT Operations Associate, collate information to be included in standard material such as training documentation and web content, to contribute to the availability of information about services and products.

8. Follow set emergency response processes and procedures as required to provide IT support in enabling emergency food assistance needs to be met.

9. Support program unit with IT issues regarding growing demand for online training activities.

10. Gather information with clear direction to support the drafting of documents and preparing reports by other staff.

11. Maintain register (incoming/outgoing correspondence, stamp, invoices, others)

12. Support processing and managing routine administrative and financial tasks in various functional areas, to contribute to the effective and timely management of resources.

13. Take responsibility for the maintenance of set Administrative standard systems and files, to ensure information is accurate and readily available for the function.

14. Identify simple discrepancies in statistics and data, such as missing information, and report to Administrative and Finance Assistant in order to support for staff to deliver their work.

15. Make travel arrangements in line with administrative rules and procedures.

Education: Completion of secondary school education.

Experience: Four or more years of progressively responsible work experience in the relative IToperations, professional experience in computer science, confidence in resolving level 1 IT issues and additional experience in general administrative work.

Desirable Knowledge and Skills:

  • Knowledge of work routines and methods in order to complete processes under minimal supervision.
  • Uses tact and courtesy to give and receive information to a wide range of individuals.
  • Ability to identify data discrepancies and rectify problems requiring attention.
  • Ability to offer guidance or basic on-the-job ITtrainings to office staff

Understands and follows the established standards and protocols for service excellence within own domain to maintain quality of delivery and high levels of customer satisfaction

Language:

Fluency in written and spoken English and Russian, knowledge of Kyrgyz is an asset.
