Job Description

Founded in 1933, the IRC is a leading nonsectarian, voluntary organization providing relief, protection and resettlement services for refugees and victims of oppression or violent conflict. The Denver office opened in 2016 to provide reception and placement services to newly arrived refugees and is slated to resettle more than 600 refugees in the coming year. We provide wraparound program services and integrated supports to positively impact clients’ safety, health, education, and economic wellbeing.

JOB OVERVIEW

The IRC in Denver Operations Department is responsible for the direct or indirect oversight and coordination of all operational functions in the office, resulting in a well-functioning, compliant operational environment. The Operations Department serves as the primary liaison for HQ Regional Functional Leads including Regional HR Partners (RHRP), Supply Chain Advisor (SCA), Regional Safety & Security Director (RSSD), Regional IT Director (RITD) and Global Facilities Director (GFD).

IRC’s Global Supply Chain (GSC) encompasses all the systems and support functions vital to implement programs effectively, broad of procurement, logistics, inventory, property, and asset management, as well as vehicle and fleet management. GSC authorities ensure that supply chain activities are conducted in the best interest of the IRC and in compliance with applicable policies, Standard Operating Procedures (SOPs) and donor requirements. Inventory Specialists within IRC’s Resettlement, Asylum, and Integration (RAI) U.S. offices are key members of the organization’s Global Supply Chain team. The Inventory Specialist is responsible for collecting, tracking, and disbursing inventory, including both purchased items and Contributions In-Kind (CIK), to refugee and immigrant populations resettled by the IRC and other eligible clients. They maintain storage space, implement systems to organize and track inventory, and support procurement efforts. Working in close collaboration with IRC in Denver colleagues in programs and finance, the Inventory Specialist also ensures all related recordkeeping and reporting requirements related to inventory and CIK are met.

MAJOR RESPONSIBILITIES

Major responsibilities include, but are not limited to:

• Manage the on- and offsite storage of household goods and personal effects intended for distribution to IRC clients.

• Label, organize, and track items, and ensure storage facilities are well-secured, clean, and properly maintained.

• Carry out physical inventory counts as needed, recording timely and accurate data within IRC’s data management systems.

• Coordinate the daily operations of donation storage areas by stocking and supporting the reception, storing, and distribution of in-kind goods in an organized manner.

• Observe correct stacking and turnover by implementing first in, first out (FIFO) or first expired, first out (FEFO) procedures.

• Collaborate with colleagues, including the Housing and Community Engagement Teams, and with members of the community to safely load, unload, and disburse goods in strict accordance with IRC policies and donor requirements.

• Ensure accurate recordkeeping to account for and track incoming and outgoing inventory by preparing forms and maintaining thorough records within IRC’s data management systems.

• Provide accurate and up-to-date digital and physical inventory records for regular reporting purposes.

• Support procurement efforts by coordinating with vendors, managing supply lists, and tracking and communicating market prices.

• Advise management team of inventory-related needs.

• Use personal, insured vehicle, IRC vehicle, and/or public transportation (where available) to travel and transport materials as needed throughout the service delivery area.

• May train and lead the activities of volunteers and interns.

• Other duties as assigned.

JOB REQUIREMENTS

Education

• Bachelor’s degree Business Administration, Supply Chain Management, or similar field strongly preferred. May be substituted with equivalent years of relevant lived and/or work experience.

Work Experience

• Minimum 2 years of related professional experience; preferably in a not-for-profit or other social services environment.

Demonstrated Skills & Competencies

• Strong relationship building, diplomacy, and networking skills; ability to effectively build internal and external relationships.

• Demonstrated success working and communicating effectively in a multi-cultural environment.

• Self-starter with excellent problem-solving skills combined with the proven track record to prioritize and manage time effectively.

• Attention to detail and accuracy in work product.

• Evidence of capacity to be a strong team member in a highly collaborative multidisciplinary environment.

• Fluent in English, both spoken and written; proficiency in language(s) spoken by client group is desired.

• Proficient in Microsoft Office applications (Word, Excel, Outlook); ability to use the internet and other digital tools for data entry, research, and problem-solving purposes.

• Ability to lift 35+ lbs. safely.

• Valid driver’s license and access to a reliable, insured personal vehicle strongly preferred.

COVID-19 VACCINATION REQUIREMENT

WORK ENVIRONMENT

• A combination of standard office environment, remote work, and ‘field’ time within the service delivery area to perform the above outlined responsibilities.

• Occasional weekend and/or evening work is required.

• Position routinely lifts 35+ lbs.

• This role entails periodic travel in and around the Denver metro area to attend meetings, carry out the responsibilities outlined above, and represent the IRC with donors, partners, and vendors.

• At present, the IRC in Denver office is in the process of re-opening. Hybrid remote/in-person work modifications have been in place to ensure staff and client safety during the COVID-19 pandemic.

• Staff are provided with IRC laptops and cell phones and must have access to a location with secure internet service where remote work can be performed as needed and according to the schedule negotiated with their supervisor.

• All staff are required to adhere to IRC’s COVID risk mitigation policies, which may include but are not limited to masking, physical distancing, enhanced hygiene practices, symptom screening, and isolation and quarantine when needed. In some cases, these policies may be stricter than those imposed at the federal, state, or local level.

COMPENSATION AND BENEFITS

This position is a full-time, regular, position scheduled at 37.5 hours per week, classified as non-exempt and eligible for overtime under state and federal law. Starting compensation is $25 per hour, or $48,750 annualized, depending on experience and qualifications. As a regular, full-time employee, the Inventory Specialist qualifies for the IRC’s excellent benefits package, which includes:
