Org. Setting and Reporting This position is located in the Programme Support and Management Services, in the Procurement, Logistics and Field Support Unit , General Administrative Services Section

Responsibilities Within delegated authority, the Inventory and Property Control Assistant at this level will carry out the following duties:

  • Assists new mission survey/start-up team by initialising the accounting records for the Property and Control Inventory Unit, supervising the Receiving and Inspection of all UN owned property, , evaluating requirements and producing initial assessments for mission budget planning for Supply Section commodities.
  • Assists in taking physical inventories of OHCHR property in field offices and in investigating and reconciling discrepancies. Acts as main focal point on property management for all field presences and at HQ, providing advice to staff members worldwide and recommending appropriate actions for the recording, safekeeping, write-off and disposal of OHCHR assets and equipment
  • Ensures OHCHR assets are bar-coded, decaled and tagged as per OHCHR guidelines.
  • Assists in managing and maintaining a comprehensive electronic database of serialised and non-serialised OHCHR property for multiple field offices.
  • Assists in preparing a variety of monthly, yearly and ad hoc inventory reports of OHCHR property as required, including those on surplus (damaged/obsolete) serialised items.
  • Assists in supervising sales and/or disposals of OHCHR property.
  • Provides training and advises to Property Record Custodians from all Field Offices on inventory-related matters.
  • Provides administrative and technical support in managing OHCHR owned field assets or other OHCHR owned property in relevant database (e-Asset and Umoja)t and trains users on these databases; proposes, implements and/or monitors technical or procedural changes to relevant database(s) as necessary and carries out preliminary programming and testing of those changes within the system.
  • Acts as Secretary of the OHCHR Local Property Survey Board (LPSB); planning and organising meetings, reviewing cases, requesting required documentation, writing case presentations, summarising deliberations, and referring cases to HPSB as needed
  • Reviews, analyses, and oversees write-off of all cases to be directed for approval to HOA
  • Undertakes property management actions in E-asset and Umoja to ensure appropriate life cycle management, including organizing physical verification exercises
  • Assists with the management and reporting of PP&E items for financial reporting
  • Provides essential background information for audit reports and other queries
  • Performs other duties as required.

Education High school diploma or equivalent.

Work Experience At least seven (7) years of experience in inventory and supply management, property management, logistics, procurement, warehousing, administrative services, or related area is required.

Languages English and French are the working languages of the United Nations Secretariat. For the post advertised, fluency in oral and written English is required. Knowledge of another official United Nations language is desirable.

Assessment Evaluation of qualified candidates may include an assessment exercise which will be followed by competency-based interview.
