The Business Continuity Unit (BCU), located in the Division of Finance and Administrative Management (DFAM) is responsible for the development, review and maintenance of all policies, practices and procedures pertaining to UNICEF’s Business Continuity Management (BCM) programme, and the effect on operational preparedness. Business Continuity is the capability of the organization to continue delivery of services (i.e. maintain business operations), to fulfill our global mandate and accountabilities, during a crisis or disaster. The BCU is also the inter-agency focal point for the Organizational Resilience Management System (ORMS), which is the emergency management framework for the UN and UNICEF. UN organizations participating in the implementation of the ORMS will enhance the organization’s, and ultimately the UN system’s, provide more coordinated and comprehensive support when emergency incidents and crisis events occur.

How can you make a difference?

When an emergency occurs, for UNICEF to be a more resilient organization, able to continue supporting children and young people globally, our personnel need to be fully aware of their roles and responsibilities, as well as the resources available and accessible. One of the ways this can be achieved is through information sharing. The BCU wants to launch an online SharePoint (SP) site which will provide key preparedness and organizational resilience information and resources, as well as serve as a repository for the business continuity plans (BCPs) for all offices globally.

An ORMS SP currently exists in an old format. Thus, it needs to be redesigned and reformatted.

Under the overall guidance of the Manager, Business Continuity Unit, the SharePoint Content Specialist intern will undertake the following tasks:

  • Redesign and launch of the ORMS SharePoint site in the Enterprise Content Management (ECM) format.
  • Provide support and expertise on gathering user needs for content and site design to ensure an end user-driven solution that is intuitive and searchable.
  • Provide intranet architecture expertise, encompassing technical, aesthetic and functional criteria.
  • Advise on how social media platforms (e.g. Yammer) and feeds from external resources (e.g. host country emergency management agencies, communications tools, etc.) can be integrated to encourage collaboration, knowledge sharing and ideas generation.
  • Provide content management training to site administrator and contributors (i.e. ORMS Focal Points) supported by a detailed training manual.
  • Conduct pilot of the site prior to launch.
  • Liaise with Headquarters and field Information and Communication Technology (ICTD) focal points, as necessary, for design and technical knowledge exchange and to coordinate launch of production site with ICTD.

In summary, this Terms of Reference (TOR) seeks the services of an intern to provide SharePoint content management and website architecture expertise for the timely design, development and launch of the ORMS SharePoint site. The redesigned ORMS site will ensure a consistent user experience and design with the ECM format and navigation.

To qualify…

  • Be enrolled in an advanced/undergraduate university degree (Master’s or higher) in Information Technology, Communications or Information Management.
  • Strong verbal and written communication skills (i.e. can explain complex technical processes to non-technical people).
  • Think flexibly, independently and strategically to resolve issues, often interacting with other support teams.
  • Be self-motivated, demonstrate very strong initiative, and can prioritize and self-direct work.
  • Strong troubleshooting and overall problem-solving skills.
  • Strong organizational, planning, and analytical skills.
  • Demonstrated cultural sensitivity and ability to establish harmonious working relations in a multicultural environment.
  • Strong interpersonal skills, high sense of responsibility, tact and discretion.
  • Familiarity with emergency management concepts is considered an asset.
  • Fluency in English is required. Knowledge of another official UN language (Arabic, Chinese, French, Russian or Spanish) is an asset.
  • Have a valid B1-Visa or valid Student Visa with valid OPT/Critical Practical Training (CPT).

IMPORTANT VISA NOTE: Interns are personally responsible for arranging any visa or immigration requirements, covering the entire period of their internship. If necessary, UNICEF will support the process by providing relevant documents such as proof of internship.

The technical competencies required for this post are:

  • Expertise in use of Office 365 and content management and design processes using MS SharePoint online.
  • A minimum of two (2) years of relevant experience in developing and designing a site on SharePoint Online inclusive of expertise in site settings and configurations (document libraries, lists, webparts, metadata, taxonomy, search, etc.).
  • Experience troubleshooting, supporting, and/or administering SharePoint Online.
  • Full understanding of web usability standards and best practices.
  • Familiarity with HTML5/JavaScript/CSS.
