Operations Management Support Homebased for HQ Rome, Italy

The World Food Programme (WFP) is the leading humanitarian organization saving lives and changing lives, delivering food assistance in emergencies and working with communities to improve nutrition and build resilience. We are currently seeking to fill an intern position in the Operation Management Support Office (OMS), home-based.

BRIEF DESCRIPTION OF THE DIVISION:

OMS plays a key role in supporting the Office of the Chief of Staff, as well as the regional bureaux and country offices, across a series of core and cross-cutting operational themes. Including: 1. Programme Review and Approval Process; 2. Regional Bureaux and Country Offices Support; 3. Participation in Executive Director Meetings; 4. Preparation of Operational and other Reports;5. Facilitate the departmental engagement for the finalization and implementation of internal and external audit recommendations to Regional Bureaux and country offices, as well as monitor the implementation of evaluation recommendations for External Audits on RBs/COs; among others

DUTIES AND RESPONSIBILITIES

Under the direct supervision of the Programme Policy Officer, the candidate will perform the following duties:

  • Support information and data gathering for OMS lead initiatives;
  • Participate in meetings as relevant;
  • Support the preparation of Notes for the Records and brief reports;
  • English proofreading and formatting documents;
  • Support excel-based automation processes;
  • Any other business as requested

QUALIFICATIONS AND EXPERIENCE

  • Currently enrolled in an undergraduate or graduate programme in Development Studies, International Relations, Politics, Gender or any other relevant Social Sciences discipline, from a recognize university or recently graduated from an undergraduate or graduate programme (within six months prior to the application to the internship programme) from a recognized university.
  • University course attendance in the past 12 months.
  • Proficiency in MS Office (Word, Excel, Power Point, Outlook)
  • Sound analytical and data collection skills;

KNOWLEDGE & SKILLS:

  • Ability to plan and organize work with reasonable supervision;
  • Ability to work under pressure and meet deadlines;
  • Initiative, enthusiasm, and flexibility with excellent interpersonal skills

WORKING LANGUAGES

  • Excellent written and spoken English is required (Level C minimum);
  • Proficiency and/or fluency in French and Arabic is desirable.

SUPERVISION (Level/Methods of Supervision)

Under the direct supervision of the Programme Policy Officer, the incumbent will be provided with close mentoring, guidance, and technical supervision. OMS Deputy Director will be the second-level supervisor. Through an induction package – including face-to-face sessions and written documents - the volunteer will rapidly become a productive member of the team.

Throughout their assignment, WFP interns have access to an industry-leading learning platform, weLearn. Depending on opportunities and availability of funds, he/she may participate in WFP workshops or seminars, as appropriate.

LEARNING ELEMENTS

At the end of the assignment, the Intern should:

  • Understand WFP’s mandate and have a sound knowledge of the work performed worldwide;
  • Have developed basic skills for Information Management

TERMS AND CONDITIONS:

  • Interns receive a monthly stipend from WFP up to the maximum amount of US$1000 per month depending on the duty station of assignment.
  • WFP is not responsible for living expenses, arrangements for accommodation, necessary visas and related costs.
  • WFP will reimburse travel ticket for candidates who are nationals of developing countries and are pursuing their studies in their home country.
  • WFP will recognize candidates’ educational credentials from recognised institutions that have been certified by competent international or national authorities such as the United Nations Educational, Scientific and Cultural Organization (UNESCO) or Ministries of Education.
  • Candidates who bear any of the following relations to WFP staff members are not eligible to apply: sons, daughters, brothers or sisters.
