The World Food Programme (WFP) is the leading humanitarian organization saving lives and changing lives, delivering food assistance in emergencies and working with communities to improve nutrition and build resilience. We are currently seeking to fill a UN Booking Hub intern position in our Global Accommodation and UN Booking Hub of the Management Service Division, based in Rome, Italy.

BRIEF DESCRIPTION OF THE DIVISION:

The Global Accommodation team provides guidance and support for WFP-managed accommodation. The team is responsible for:

  • setting the accommodation quality corporate standards and supervising them through dedicated assessment reports;
  • supporting WFP Offices in accessing the Special Account Wellness Fund for accommodation upgrade plans and oversees the implementation of them
  • developing long-term strategies and improvements policies and provides guidance and procedures;
  • overseeing the accommodation service's performance efficiently and effectively through specific reports and analysis and continuously monitors the service customer satisfaction through annual surveys and instant feedback tools.

The Global Accommodation Team is also responsible for:

  • the roll-out and the UN Booking Hub's mandatory use within all the WFP-managed accommodation and WFP staff;
  • the support on the platform’s use to the guesthouses’ management in the daily activities for processing bookings, creating invoices, retrieving reports, and assessing the guesthouses to the UN common standards for living conditions in the field;
  • guarantees continuous support on the UN Booking Hub's use providing guidelines, bespoke material, online training, and manuals.

DUTIES AND RESPONSIBILITIES

Under the direct supervision of the Accommodation Common Service Manager, the candidate will perform the following duties:

  • Support on the data analysis and preparation of reports and presentation.
  • Suggest and create report showing results of the analysis:
  • Support workstream in creation of necessary slides
  • Suggest interesting new slides based on insight gained in discussions and data analysis
  • Participate in team discussions/meetings wherever possible
  • Participate in meetings, as required by the activities
  • Daily customer care and field-support activities related to Accommodation services and UN Booking Hub:

  • Customer care to the accommodation field network

  • Support on training and webinar delivery
  • Support on corporate communication activities

QUALIFICATIONS AND EXPERIENCE

  • Currently enrolled with at least two years undergraduate studies completed, or recently graduated (within the past six months)
  • University course attendance in the past 12 months;
  • Excellent command of English; working knowledge of French is preferable. A third UN language would be an asset (Arabic)
  • Proficiency in MS Office (Word, Excel, Power Point, Outlook)
  • Familiarity with email marketing tools/survey platforms is well evaluated

REQUIRED SOFT SKILLS/WFP COMPETENCIES:

  • Time management skills with an ability to plan;
  • Have a good digital literacy;
  • Good communication and proofreading skills
  • Self-motivated and able to work with a certain degree of autonomy and/ or in team;
  • Fully committed and motivated to achieve the aims of the UN World Food Programme.

WORKING LANGUAGES

Working knowledge of English (proficiency/level C) is required.

Working knowledge of French and additional UN official language is preferable (Arabic)

SUPERVISION (Level/Methods of Supervision)

Under the direct supervision the of Accommodation Common Service Manager, the incumbent will be provided with close mentoring, guidance and technical supervision. Performance planning and reviews as well as learning and development discussions will be elemental part of the supervision. The Global Accommodation Manager will be the second-level supervisor. With the support of a comprehensive induction package and assignment of a buddy/mentor, the intern will rapidly become a productive member of the team.

TRAINING COMPONENTS

Throughout their assignment WFP interns have access to an industry leading learning platform, WeLearn. Depending on opportunities and availability of funds, he/she may participate in WFP workshops or seminars, as appropriate.

LEARNING ELEMENTS

At the end of the assignment, the Intern should be able to:

  • Prepare reports and presentations using MS Office tools (Excel and PowerPoint especially)
  • Understand and effectively utilize communication and marketing tools, together with survey platforms
  • Update digital content through basic utilization of CMS
  • Improve knowledge and understanding of a variety of digital tools
  • Relate professionally and provide support to field colleagues via online tools (emails and video-trainings)
  • Organize global-based webinars and communications

TERMS AND CONDITIONS:

  • Interns receive a monthly stipend from WFP up to the maximum amount of US$1000 per month depending on the duty station of assignment.
  • WFP is not responsible for living expenses, arrangements for accommodation, necessary visas and related costs.
  • WFP will reimburse travel ticket for candidates who are nationals of developing countries and are pursuing their studies in their home country.
  • WFP will recognize candidates’ educational credentials from recognised institutions that have been certified by competent international or national authorities such as the United Nations Educational, Scientific and Cultural Organization (UNESCO) or Ministries of Education.
  • Candidates who bear any of the following relations to WFP staff members are not eligible to apply: sons, daughters, brothers or sisters.
