The incumbent is expected to deliver the required services in terms of inventory/asset management so that the asset/inventory management for the entire ACO has been taken care of in desired and required manner.

Assisting the ZOs whenever required and focuses on the quality and timeliness of the tasks particularly the reporting requirement to HQ.

Adopt the teamwork concept and ensure that data bases both in lotus notes and excel sheet are updated for further reporting purposes.

How can you make a difference?

KEY ACCOUNTABILITIES and DUTIES & TASKS Within the delegated authority and the given organizational set-up, the incumbent is accountable for all or assigned areas of the following major duties and end results.

  • Registering/entering new items along with details and record them in inventory data base.
  • Maintaining inventory data base of ACO in Vision and if required in Excel.
  • Keeping update record of inventory in data base (Vision and Excel).
  • Receiving newly procured items from warehouse, inspecting, recording and tagging them.
  • Preparing release order for purchased items from logistics section.
  • Release the items to staff members and sections based on request within ACO and to ZOs.
  • Listing out obsolete, extra from the need of office items for PSB on quarterly basis.
  • Review of the supporting documentation for the submissions of PSB which will be reviewed by PSB in the capacity of the PSB secretariat.
  • Implementation of approved PSB cases based on recommendation of PSB and approval of the head of office.
  • Recording, updating and reconciling of PSB items in the Inventory Databases and the PSB Registration Sheet.
  • Generating the report on the status of NEP and Attractive assets to NYHQ yearly.
  • Conducting physical count of office assets, NEP and attractive items on yearly basis.
  • Listing out assets which will be signed and received by custodians inside the office and in the accommodations.
  • Convention of PSB for the review of PSB Register of the cases which has been reviewed and implemented for the year.
  • List out released items from the stores that need to be replenished as the store balance should be maintained.
  • Preparing the documents for the physical count exercise which is conducted yearly in collaboration with Admin Officer/Admin Manager.
  • Any other identical task that is assigned by the respective supervisor.

To qualify as an advocate for every child you will have…

  • Completion of secondary education is required, preferably supplemented by technical or university courses related to the field of work.
  • A minimum of 5 years of relevant administrative or clerical work experience is required.
  • Developing country work experience and/or familiarity with emergency is considered an asset.
  • Fluency in English is required. Knowledge of a local language is an asset.
  • Training and experience using MS Word, Excel, PowerPoint and other UNICEF software such as SharePoint; knowledge of integrated management information systems required.
  • Thorough knowledge of UNICEF administrative policies and procedures.
  • Organizational, planning and prioritizing skills and abilities.
  • Ability to deal patiently and tactfully with visitors.
  • High sense of confidentiality, initiative and good judgment.
  • Ability to work effectively with people of different national and cultural background.
  • Ability to work in a team environment to achieve common goals and to provide guidance to more junior support staff.
