Under the general supervision of the Chief Resource Mobilization & Partnerships the incumbent performs administrative support functions, which will include management of Supply, HR, Travel, Logistics and other operational issues for the section.

Resource Mobilization as a section manages all fund-raising activities for UNICEF India as well as engagements with the private sector. This does require coordination with different sections for ensuring all processes related to supply & procurement, personnel within the team, processing of payments etc. are supported through coordination and action on the UNICEF SAP platform. This position will be responsible for managing these transactions as well as maintaining reports to support monitoring of budgets along with administrative support.

Key functions/accountabilities:

  1. Under the guidance of the Chief Resource Mobilization & Partnerships (RMP), support to monitor funds commitment/utilization and prepare monthly status report on budget monitoring systems. Ensure the data is available and updated on a regular basis, based on different funding channels like Cost Charging, Dynamo Fund, Investment Fund etc.
  2. In consultation with the Supervisor oversee RMP’s extensive procurement: raise/close supply-related requisition documents, ensure timely goods/services receipts (and confirmation in Vision), as per approved process. Coordinate with Supply & Procurement section (S&P) and take timely action for the management/follow up of transactions and draft payment requests. In Vision, ensure thorough follow up of suppliers’ contracts/extensions (including preparing timely renewals of LTAs and extensions of contracts) and ensure timely allocation of funds. Also to review and process all invoices, maintain record of all transactions and monitor funds commitment/utilization, prepare status on budget availability, initiate change of funding source and highlight potential gaps. By consolidating the actions above, to collate and finalize the RMP Supply Plan, periodically monitoring the same to ensure procurement is on track and update the same for S&P reporting.
  3. Organize meetings and coordinate diaries for RMP as required by heads of RMP units. Prepare the agenda and minutes of meeting and circulate the same and act as a safe custodian of all meeting minutes. Act as a focal point for follow up on the audit observations of the section and ensure collating inputs from all for closing the same. Also facilitate submission of RMP’s annual workplans.
  4. Support RMP section in coordinating (i) the onboarding of new staff members in the section and (ii) documentation required for the contract extensions of personnel in the section.
  5. In support of all RMP teams, update all RMP’s Knowledge Management related content on a timely basis (weekly or monthly as relevant to specific content).
  6. Liaise with Travel Unit to ensure efficient organizing and management of travel for the RMP team, including liaising with Travel Unit for travel options and with Admin Unit for timely issuance of visas for travelers and Visa Notes for visitors. Custodian for All TRIP reports of the section including collating the action points from these TRIP reports and follow up on the completion. Obtain security clearance for the travel of Chief RMP and other senior team members.

To qualify as an advocate for every child you will have…

  • Completion of secondary education. Technical or university courses related to the field of work and job description is an asset.
  • Minimum 6 years of experience in the field of administration and/or operations. Basic knowledge of supply and public procurement. Experience of working in marketing or fundraising environment will be considered as an asset.
  • Fluency in English and knowledge of Hindi is required. Knowledge of another official UN language will be considered as an asset.
