ORGANIZATIONAL CONTEXT

The Malawi Country Office of WFP is seeking motivated and qualified candidates to enroll for the 2023 Internship Programme.

The position will be based in the Procurement Unit, Lilongwe. The internship will be for the period of 6 months from 1 June, 2023.

KEY ACCOUNTABILITIES (not all-inclusive)

Under the close supervision of the Procurement Officer, the intern is expected to produce organized and accurate work and will undertake the following tasks:

1. Provide administrative duties in the implementation of local and regional food procurement policy 2. Provide secretariate duties on the collaborative activities between procurement and programme units such as Homegrown school feeding purchases, Integrated resilience activities for smallholder farmers, food safety and quality, and any other joint activities as requested 3. Respond to queries regarding procurement data from staff in the unit and elsewhere in the client unit. 4. Track and record all tender (RFQ/ITB/RFP) numbers in the team’s database 5. Manage and monitor vendor invoices with client units and follow up on outstanding payments 6. Provide support to a focal point for vendor management and filing for both food and goods & services 7. Maintain relevant internal databases and files; keep track of contractual agreements such as contract validity dates, extensions, etc. 8. Follow up and monitor tender responses

STANDARD MINIMUM QUALIFICATIONS

Education: Currently enrolled with in a graduate programme and have attended classes in the past 12 months, or a recent graduate from a graduate programme (within six months prior to the application to the internship programme). Preferred areas of study are: Procurement, Supply Chain, Public and Social Policy, Development Studies, International Relations, Economics, Nutrition/Health, Agriculture, Environmental Science, Social Sciences, Business Administration, Public Policy, and Communications

Language: Excellent command of English is required; Working knowledge of a second UN language would be an asset.

Proficiency in MS Office (Word, Excel, Power Point, Outlook)

• Collaborative spirit with the ability to liaise with a wide range of people at all levels and across different cultures • Strong drive, self-motivated and able to work with a high degree of autonomy • Ability to prioritize tasks and quickly adjust to different working environments Excellent interpersonal and communication skills (written and oral) • Proactive attitude, shows initiative and has a sense of accountability

LEARNING ELEMENTS:

At the end of the assignment, the Intern should: • Have an understanding of processes to support the contracting/tendering implementation at WFP • Be able to maintain accurate records of activities in line with compliance standards • Have basic ability to utilise the knowledge gathered to identify vendor requirements as well as vendor selection criteria.

TERMS AND CONDITIONS

• Interns receive a monthly stipend from WFP. • WFP is not responsible for living expenses, arrangements for accommodation, necessary visas and related costs. • WFP will recognize candidates’ educational credentials from recognised institutions that have been certified by competent international or national authorities such as the United Nations Educational, Scientific and Cultural Organization (UNESCO) or Ministries of Education. • Candidates who bear any of the following relations to WFP staff members are not eligible to apply: sons, daughters, brothers, or sisters.
