Job Description

Integrated Protection Program Officer

Duty station: Vinnytsia, with regular movement to Lviv/Western Ukraine and Dnipro

Key working relationships:

- Position Reports to: Integrated Protection Coordinator, Ukraine - Position directly supervises: TBD

- Internal collaborations within IRC: Women’s Protection and Empowerment (WPE) Manager; Child Protection (CP) manager, Protection Manager; Economic Recovery and Development (ERD) Manager; Health Manager - External collaborations to IRC: Child Protection actors, GBV actors, Protection actors, IRC implementing partners, organizations and agencies

The Integrated Protection (IP) Program Officer will be responsible for supporting IRC-led protection implementation in Ukraine, with a main focus on the support provision to people on the move fleeing Ukraine. The Program Officer will support the IP coordinator to strengthen the quality and effectiveness of program implementation and accountability and ensure timely implementation of project activities. Specifically, the IP Program Officer will be responsible for:

· Follow up on and collect all IP time sheets at the end of the month and submit to finance to ensure timely payment of staff salaries

· Track all staff leave requests, vacation plans, and monthly balances; report adherence to leave planning to Managers on a monthly basis

· Support with the preparation and organization of trainings, workshops, and other events

· Follow up, compile and monitor the submission of weekly work plans from officers on a weekly basis

· Prepare a weekly movement plan for submission to the Transport Officer

· Support managers with their procurement tracking, including submitting a weekly tracker of all overdue and delayed PRs for follow up

· Review technical reports and program activity reports as per need

· Provide general support to the M&E department, as needed

· Help organize internal and external meetings, as needed

· Work with the other administrative staff in to ensure the smooth running of the department and support one another

· Other duties as requested by the IP Coordinator

Requirements:

· A degree (preferably in social sciences) or equivalent 2-3 years of experience in administration or information management.

· Demonstrable willingness to work in the field of protection, demonstrable commitment to learning more about the standards and practices in protection

· At least one year of previous work experience in administration with a humanitarian organization

· Ability to always adhere to confidentiality and respect for clients at all times is essential;

· Good communication and coordination skills

· Experience in report writing

· Good interpersonal skills and ability to work as part of a team, as well as independently

· Flexible and able to work in a dynamic and diverse environment

· Fluent in written and spoken Ukrainian; good written and spoken English.

· High degree of flexibility and strong ability to organize work, meet deadlines, maintain composure, prioritize work under pressure, coordinate multiple tasks and maintain attention to detail

· Computer literate, including Microsoft Word and Excel
