The Institutional Affairs Analyst in the Secretary’s Department (SEC)’s Immediate Office will play a key role across a broad range of activities. In addition to advancing the department’s digital transformation agenda by leveraging IT and AI-driven tools and interactive design to strengthen knowledge management, decision-making, and Board operations, the position also requires contributing to efficiency and streamlining efforts and helping to manage the regular workflow in the front office. Working across teams, the role combines analytical expertise, creativity, and technical fluency to help modernize, streamline, and build up Board processes and information-sharing platforms. The selected candidate will be part of the broader front office team that manages the standard workflow and outputs, contribute to SEC’s IT and AI objectives, and work with the department’s Board activity data team to deliver accurate, timely, and interactive information to the Board. In addition, the position would also provide front office support for Board and Committee meetings, Annual/Spring Meetings, IMFC, and serve as a back up on front office duties, so knowledge of Board processes and procedures is an advantage. The selected candidate is expected to be extremely well-organized, have excellent planning skills, work with minimum supervision under pressure and tight deadlines, be meticulous and pay close attention to detail in all facets of work, and exercise independence, discretion, and sound judgment. The selected candidate is expected to work with the front office team to support as needed on basic HR/budget/Accountability Framework-related and other tasks and be familiar with related systems and procedures.

Duties and Responsibilities:

  • Operational and Cross-Team Support: Collaborate across departmental teams to ensure the efficient operation of Executive Board and Committee meetings, applying digital solutions to streamline coordination and communications. As part of the front office team, support the delivery of the Annual/Spring Meetings, including the IMFC, by providing logistical and other support.
  • Digital Design and Analytics: Contribute on the design and interactive visualization of the department’s full range of outputs using AI-enhanced design tools and other digital platforms. Support online, interactive data for the Executive Board that promotes transparency and real-time updates. Manage and analyze data on Board indicators and engagement trends. Develop automated dashboards, analytical summaries, and visual reports to inform decision-making on Board priorities and participation
  • Knowledge-Sharing Platforms & Technology Solutions: Contribute to the development of AI-powered knowledge-sharing tools and collaborative platforms. Create engaging, member-focused content—including multimedia products—and track user metrics to assess engagement and impact. Support implementation of IT and digital innovation projects, identifying business needs, testing prototypes, and helping integrate emerging technologies such as machine learning, natural-language processing, and workflow automation into existing systems.
  • Presentations and Visual Communication: Design, refine, and enhance PowerPoint presentations and other communication materials to effectively visualize data, communicate analytical findings, and improve storytelling for Executive Board briefings, seminars, and departmental updates. Leverage AI design assistants to ensure consistency, clarity, and visual impact.
  • Front Office responsibilities: As part of the broader front office community, and in line with the need to manage a wide range of services, provide support, as needed, for standard tasks, including preparing speaking notes and other supporting documentation for Board meetings, and background information for restricted sessions. Assist in managing the workflow of the front office, including the interdepartmental review process for SEC, leave management, managing internal Board assignments, interacting with Offices of Executive Directors, staff, management and other stakeholders, supporting on HR, budget and Accountability Framework issues, and other duties as needed.

Minimum qualifications

Educational development, typically acquired through the completion of a university degree, or equivalent supplemented by a minimum of three (3) years of relevant work experience, is required. Alternatively, a minimum of two years of experience in a related position at Grade A6, or equivalent, is required.

In addition to the above qualifications, the requirements listed below are critical to the position.

  • Strong written and oral communication skills, and the ability to interact with the Office of the Managing Director, Offices of Executive Directors, and Fund staff at high levels with efficiency, tact, diplomacy, and attention to details.
  • Prior experience, and interest in manipulating and analyzing data for reporting. Strong skills in data visualization (e.g., Power BI), automation tools, and AI-driven analytics.
  • Demonstrated ability to translate data and technology into practical solutions supporting operational and strategic objectives.
  • Institutional knowledge on the functioning of the Fund, Executive Board, the IMFC, and the Board of Governors is an asset.
  • Excellent organizational and logistical skills. Ability to work well under pressure, managing short deadlines, and a complex and demanding workload that requires utmost precision.
  • Self-driven with independent judgement and able to manage urgent day-to-day responsibilities as well as longer term independent projects.
  • Excellent interpersonal skills, the ability to work both independently and in close collaboration with other team members and act as a resource for the department.
  • Strong multi-tasking skills and the ability to prioritize and respond to a large variety of requests quickly and accurately.
  • Flexibility in working hours and overtime (sometimes at short notice, including possibly over weekends).

Only candidates who are currently residing in the Washington DC metro area will be considered.

A regular staff member who is selected to fill the vacancy will maintain their open-ended status. If the selected candidate is a contractual employee, they will be offered a Term staff appointment. Staff members already on a term appointment will continue their current term but may receive an extension provided that their current term appointment has not already been extended.

It is expected that while the position is advertised at the full grade band, it will be filled at the lower level.
