The United Nations World Food Programme (WFP) Supply Chain Division (SCO), with over 5000 trucks, 50 ships and close to 100 planes on the move every single day in over 120 countries and territories, together with its partners, operates a global network to deliver life-saving food assistance to the most hard-to reach places.

JOB PURPOSE

WFP’s Supply Chain Division, made up of more than 400 employees based in Headquarters and supporting a function of more than 4,000 employees worldwide, is seeking to strengthen its internal communications capabilities, facilitate information-sharing and create a sense of belonging across Supply Chain employees based in WFP's headquarters, Country Offices and Regional Bureaux. Working in Supply Chain’s Front Office based in HQ, the Information Management (IM) & Reporting Officer will lead development of a stronger knowledge base in support of the function, and create and maintain a central repository of information working with all Supply Chain branches and units. The incumbent will carry out day-to-day information management on behalf of the Division, and also provide support and guidance to IM colleagues in the units. Furthermore, the incumbent will manage corporate reporting on behalf of the Supply Chain Division. This role will complement and work closely with a growing Communications team, supporting ongoing efforts to improve both internal and external communications.

KEY RESPONSIBILITIES (not all-inclusive)

  1. Support creation and maintenance of a single, back-end platform for information management in support of the 400+ Divisional and 4,000+ functional colleagues worldwide, in close collaboration with the Front Office, Learning & Development unit, and other colleagues as required.
  2. Lead the sharing of best practices for Information Knowledge Management (IKM), ensure compliance with corporate standards and requirements, and utilize sound IKM practices to support internal communications and amplify the work of SCO branches/units and the wider function across the organization.
  3. Work with IM/KM focal points across the division to establish and maintain a common information-storage platform for relevant materials, to facilitate more cohesive messaging across branches/units, while reducing duplication of efforts and easing workloads to drive efficiencies for the Division.
  4. Lead change management to facilitate adoption of new processes for file storage and information sharing, demonstrating a customer service attitude and acting as a service provider to support branches/units as needed with the roll-out and adoption of a common approach.
  5. Author, compile, edit and proof-read divisional corporate reports, including those submitted to the Executive Board.
  6. Maintain Supply Chain’s quarterly and annual figures, updating standardized core slide decks and summary documents; ensure accessibility and dissemination of such core materials as part of improved IM efforts across the Division.
  7. Proactively track and ensure regular maintenance of branch/unit-level factsheets, in light of divisional and branch-level changes, in order to maintain up-to-date information on Supply Chain’s WFP Go pages, working closely with Communications team.
  8. Ensure regular maintenance of Supply Chain-related external and internal webpages, ensuring alignment with divisional narrative, latest results and priorities.
  9. As linked to internal communications, support the Communications team in development and delivery of the monthly Supply Chain newsletter.
  10. Ensure that all written outputs are compliant with WFP templates, editorial guidelines, and standards.
  11. As part of a small and nimble Front Office team, supervise Knowledge Management Officer.
  12. Provide additional editing and proofreading support as requested.

STANDARD MINIMUM REQUIREMENTS

Education

  • Advanced university degree in social sciences, international relations, communications, journalism or related field.

Experience

  • A minimum of six years of professional experience in an international context.
  • Prior experience with communications/reporting is essential.
  • Experience working on Knowledge Management initiatives.
  • Supply chain experience, or experience in related industries, is desirable.

Knowledge and Skills

Ability to meet deadlines and work under pressure, responsive to changing priorities; strong interpersonal communication skills in diverse and multicultural environment; excellent written skills (English) and analytical and synthesis abilities; experience with Adobe Creative Suite; ability to build strong working relationships across a diverse range of stakeholders.

Language

  • Fluency in English, with excellent written and spoken command. Knowledge of a second UN language is strongly beneficial.
