What will you do in this position?

As part of the Logistics Cluster team, the Information Management Officer (IMO) is responsible for the collection, processing, and dissemination of data and information, to support building a common situation awareness of supply chain operations, limitations, and challenges, and promote the sharing of information, analysis and logistics capacities when/where appropriate.

The war in Ukraine has left an estimated one in three families without enough food, rising to one in two in some areas of the East and South. More than 6 million Ukrainians have been internally displaced and more than 6 million have left the country. Many of those who remain have lost their livelihoods, especially in areas close to the front lines. Millions who fled their homes to the country’s West are preparing for long-term internal displacement. Many who have returned to liberated areas around the capital, Kyiv, are struggling to rebuild their lives, having run out of money or found their homes reduced to rubble. WFP is quickly scaling up to support 4.7 million people per month inside Ukraine, using a flexible mix of food and cash assistance. We support people wherever they are, including in areas close to the front line. WFP also supports humanitarian organisation in Ukraine, by leading the Logistics Cluster and the Emergency Telecommunications Cluster, and by co-leading the Food Security Cluster. How can you make a difference?

In this position you will have to:

  • Responsible for the information management team and related tasks, ensuring high levels of quality and timely delivery.
  • Lead the development and implementation of the Information Management Strategy.
  • Produce Logistics Cluster reports/snapshots/meeting minutes, in Logistics Cluster product formats or specific formats as required within the operation. Ensure Global Logistics Cluster Information Management standards and tools are used and applied.
  • Liaise with Logistics Cluster partners, other Cluster members, and national counterparts to gather information for the compilation and production of products ensuring that challenges and concerns relating to logistics are clearly represented.
  • Liaise with Logistics Cluster/Cluster partners, and national counterparts to gather information to produce daily sitreps and weekly bulletins, ensuring that challenges and concerns relating to the logistics operation are represented.
  • Support the Logistics Cluster Team as required in drafting donor proposals, reports, and talking points.
  • Manage the content of the Logistics Cluster country operations page – in close coordination with the Global Logistics Cluster support team in HQ.
  • Facilitate the establishment, moderation, and maintenance of the Logistics Cluster mailing list.
  • Standardize and execute quality control of logistics assessments and activity reports.
  • Lead all reporting requirements for the Cluster, at high quality and in a timely manner
  • Maintain internal information sharing mechanisms, documentation formats, assessment formats, central file storage.
  • Recognize and assess the sensitivity of information obtained; respect the confidential nature of sources of information where relevant.
  • Prepare and disseminate the agendas for Logistics Cluster coordination meetings and trainings, compile presentations, and ensure meeting minutes are recorded.
  • Support the Coordinator in preparing, disseminating, and consolidating the results of any necessary partner surveys
  • Identify the most appropriate methodology to source and map information that can be used for advocacy in addressing issues in partner logistics needs.
  • Identify and validate information sources such as local civil authorities, international agencies, and organizations, and international and national non – governmental organizations.
  • Support the Logistics Cluster team to collect, analyse and compile partner pipeline data of incoming cargo into Ukraine from surrounding countries
  • Determine data requirements to produce agreed mapping products .
  • Provide translation of Logistics Cluster information products from English to Ukrainian as required.
  • Where applicable, collect and compile information to be added to Logistics Capacity Assessments (LCAs).
  • Liaise with the HQ IM Team, and LogIE Team (Logistics Information Exchange platform) to produce maps and continue building where needed, the LogIE platform development.
  • Provide information sessions to partners and others on LogIE.
  • Perform other tasks as required.

Education and Experience:

  • University degree in social sciences, global information systems, communications, journalism, information management systems, data science, economics, statistics, or related field; or the equivalent combination of education and experience.
  • At least three years of postgraduate professional experience in information management, tracking systems, database creation, data analysis, data management, report writing, or any other relevant experience.

Knowledge and Skills:

  • Excellent written and verbal communications skills; high attention to detail and proofreading ability; skills of using social media in a professional context.
  • Technical skills: Proficient in MS Office package, particularly in Microsoft Excel and PowerPoint. Demonstrated ability in data acquisition and knowledge of Access or other database tools is a great advantage. Demonstrated ability in acquiring, wrangling, structuring, and visualizing unstructured and structured data with BI platforms like Power BI or Tableau is a distinct advantage.
  • Understanding of the international humanitarian response architecture, including coordination mechanisms.

Languages: Fluency in both English and Ukrainian languages.
