Role and responsibilities

The purpose of the assistant position is to assist in the day to day implementation of information management activities for all projects.

Generic responsibilities:

These responsibilities shall be the same for all positions with the same title. The responsibilities shall be short and essential. Details belong in the Work- and Professional Development Plan.

1. Adhere to NRC policies, tools, handbooks and guidelines

2. Assist with the implementation of the support function portfolio according to plan of action

3. Prepare and develop status reports as required by management

4. Ensure proper filing of documents

5. Promote and share ideas for improvement of the support function

Specific responsibilities

These responsibilities shall be adapted to the particularities of the job location and context, phase of operation, strategic focus and type of programme intervention. This section shall be revised whenever a new employee is hired or the context changes significantly.

· Oversee data collection activities and conduct data quality checks in the field and ensure accuracy and completeness of survey questionnaires.

· Work closely with all CCs to assist with collecting, collating, presenting and otherwise managing information for MEAL related reports.

· Conduct data cleaning for frequent surveys/assessments done by programme team at the area level

· Assist in the establishment and day to day management of different databases

· Maintain and update area MEAL database, ensuring correct and swift data entry and processing

· Responsible for ensuring Monthly Indicator Tracker updated regularly to reflect projects progress and achievement.

· Responsible for ensuring indicator’s targets and achievement are recorded and updated on monthly bases in Global Output and Outcome Reporting System “GORS”

· Assist in data collection and data entry of forms and reports as required

· Assist in the daily documentation of feedback and complaints received via different channels.

· Organize and lead distributions (Registration, verification, data entry, 3UNs kits distribution); make sure all distributions are done timely and effective manner, ensure the safety and protection of beneficiaries.

· Make sure registration/ verification list and distribution list and other project documents are safely kept and archived.

· In charge of the day to day guidance of the casuals, make sure that the project implementation is in line with NRC technical guidelines and donor regulations.

· Provide support in the production and contextualization of training/orientation and communication materials related to emergency response activities.

· Actively participate in needs assessments and identify beneficiaries in need for emergency project.

· Liaise with local authorities, community leaders and other stakeholders (CBOs, NGOs, UN) on emergency response project related issues at the field level.

· Follow up on a daily basis with the support department (finance, logistics, HR and administration) as requested by line manager, this include movement planning, internal request, payments, HR, etc.

· Assist in any other related activities/duties

By interfaces, NRC means processes and projects that are interlinked with other departments/units or persons. Relevant interfaces for this position are:

· Programme Coordinators/Officers/Assistants /casual workers

· Programme Support Staff such as Finance, HR and logistics

2. Competencies

• Good knowledge in data collection and data management skills

• Good use of Microsoft applications and specially excel
