Org. Setting and Reporting This position is located within the Strategic Communications and Public Affairs Group (SCPAG) of the United Nations Assistance Mission in Somalia (UNSOM). The Information Management Assistant will be based in Mogadishu and will report to the Senior Public Information Officer and the Chief of SCPAG.

Responsibilities Within the limits of delegated authority, the Information Management Assistant will be responsible for the following duties:

Human Resources - Monitors and follows-up on actions related to the administration of SCPAG’s human resource activities, e.g., recruitment of staff and consultants, performance appraisal, separation of staff members, training etc., ensuring consistency in the application of UN rules and procedures. - Responds to enquiries and provides information and advice to staff regarding, administrative procedures, processes and practices, under the Staff Rules and Regulations. - Oversees the maintenance of vacancy announcement files and keeps track of status of vacancy announcements. - Monitors staffing table and prepare relevant statistical data/charts.

Budget and Finance - Assists in the preparation and review of financial and human resource proposals/requirements. - Assists managers in the elaboration of resource requirements for budget submissions. - Assists in preparation of budget performance submissions and finalization of budget performance reports, analysing variances between approved budgets and actual expenditures - Prepares or customizes financial reports from UMOJA. - Co-ordinates with other finance and budget staff on related issues during preparation of budget reports.

General Administration - Monitors and maintains correspondence tracking, and drafts responses to enquiries in respect to relevant administrative, financial audit, personnel matters. - Coordinates extensively with service units and liaises frequently with internal team members . - Performs other related administrative and front office duties, as required (e.g., operational travel, team calendars, implementing sub-allotments for the training budget; physical space planning; identification of office technology needs and maintenance of equipment, software and systems; organizing and coordinating seminars, conferences and translations). - May be responsible for guiding, training, and supervising the work of junior administrative staff.

Contract Administration - Reviews service orders produced by SCPAG and shared with the contracted service providers to ensure quality control. - Ensures adequate follow-up on service orders lodged with contracted service providers in order to ensure deliverability.

Education High school diploma or equivalent is required.

Work Experience At least eight years of experience in the field of information management or related areas is required.

Three years of experience working with third-party, public information service providers is desirable.

Assessment Evaluation of qualified candidates may include an assessment exercise which may be followed by competency-based interview.
