Coordinate project activities and support Change Management initiatives

You have:

  • A first-level university degree in the relevant field.
  • A minimum of 2 years of relevant and progressive experience is required.
  • Experience in supporting Change management, Organizational Development, and project management is an added advantage.
  • Experience working in a fast-moving/high-pressure environment, supporting the delivery of a complex project (preferably using similar tools such as Asana, SharePoint, Teams, etc.), and managing relationships with internal stakeholders preferred.
  • Experience in project coordination, managing SharePoint collaboration sites, Intranet sites, Zoom, and standard MS Office software.
  • Experience working in UNICEF and, in particular, PFP Division would be an asset.
  • Demonstrated experience dealing with confidential information.
  • Fluency in English is required.
  • Strong interpersonal skills with demonstrated ability to build and maintain working relationships and work effectively with cross-functional teams.
  • Excellent written and verbal communication skills.
  • Excellent organization skills, with a drive for results and the ability to work independently and proactively.
  • Able to think strategically across all the different workstreams to support the Transformation team in identifying key milestones and touchpoints to ensure alignment.
  • Enjoys working in a dynamic, matrix team environment.

UNICEF promotes the rights and wellbeing of children everywhere, working with partners in 190 countries and territories. UNICEF is a voluntary-funded organization that raises funds in both the public and private sectors. Private sector fundraising is led by UNICEF's division for Private Sector Fundraising and Partnerships (PFP). PFP leads a global ecosystem of UNICEF offices and National Committees to raise income from and influence the private sector. The main activity is to ensure the rights of all children are respected by liaising with national government counterparts to influence national policies and provide support during emergencies (in high-income countries, in which PFP is active). To en-sure that PFP is best placed to deliver on its targets in these areas in the new Strategic Plan and beyond, the division is conducting a broad review of its business across four areas identified for improvement: Structure, People, Culture, and Process (Future-Proof Initiative). One component of this review is PFP's participation in the Headquarters Efficiency Initiative (HQEI) to explore lower-cost European locations. A Transformation team has been established to drive the Future-Proof Initiative, facilitating section reviews and discussions with stakeholders to make the right, informed decisions. This requires extensive coordination, liaison, communication, and planning to ensure that the right information and stakeholders are connected at the right time. It also requires significant adaptability to respond to a highly dynamic operating environment.

How can you make a difference?

The Project Coordinator will report to the Senior Advisor – Change Management (currently on assignment in this role) and will be responsible for: (1) coordinating meetings and project products (e.g., communications, reviews, correspondence) and (2) supporting planning and sequencing of multiple concurrent reviews, engagements, and external timelines.

MAIN TASKS

Coordination and Planning

  • Work closely with selected change consultancy (using the Asana platform) to align on project activities and deliverables, keeping track of progress and alerting the Transformation Team of any delays and risks.
  • Document management across internal and external stakeholders (e.g., consultancies) using MS SharePoint and MS Teams platforms.
  • Manage regular and ad hoc meeting schedules (hybrid), content approvals, meeting agendas and minutes and supporting software (e.g., MS Teams, Zoom, etc.)
  • In liaison with Senior Advisor – Change Management and Chief of Human Resources, map out process and timelines for consultations with affected staff.

Stakeholder Communication

  • Review communication plan with Senior Advisor – Change Management, identifying key stakeholders and touchpoints for regular and adhoc communication and engagement.
  • Review documentation for quality and consistency, drafting communications as required in liaison with PFP Internal Communications.
  • Support the translation of project information (e.g., timelines, deliverables, outputs) into information products (e.g., SharePoint pages, PowerPoint presentations, etc.) and keep updated.
  • Work with the Transformation Team and PFP Internal Communications on aligning key messages, drafting talking points as required, and preparing for All Staff meetings.

DELIVERABLES

• Project documents: Maintaining project meeting invitations, agenda, minutes, recordings, SharePoint page content, and Procurement documentation

• Document management Intranet Resources: Maintaining and organizing the project SharePoint collaboration site to manage documents and Intranet pages as resources for staff

• Relationships: Developing and maintaining strong relationships with members of the team, stakeholders, and suppliers

• Procurement: Ensuring that documentation and approvals for procurements are completed in line with UNICEF policies

ESTIMATED DURATION OF THE CONTRACT AND PROPOSAL

Full-time, six months starting tentatively in June 2022.
