Purpose of Activity/Assignment:

Under the supervision and guidance of the supervisor, the Health and Nutrition Specialist, the Project Assistant will support a range of administrative functions to help address the surge in workload related to COVID-19.

The Project Assistant will work in close collaboration with staff in the Country Office (CO), external partners and agency counterparts to effectively support the additional work created by the COVID-19 response. S/he will provide regular feedback on the status of projects through monitoring milestones, to keep activities on track.

Scope of Work:

  • Facilitate the development of Program Cooperation Agreements (PCAs) by providing information and drafting selected sections of it.
  • Monitor and track the efficient distribution of supplies that are required for effective program delivery
  • Support the program section in researching, compiling, and analyzing qualitative and quantitative data and information from a variety of sources on subject matters relevant to the work of the Section to facilitate program delivery as well as preparation of reports, working papers and presentations.
  • Carry out transactions in VISION (UNICEF's flagship performance management system); ensure that program results, activities and program coding are in line with the annual work plans (AWPs), and make amendments and alterations as per section revisions when necessary
  • Carry out transactions in VISION pertaining to grants and program-related items for his/her section, including but not limited to registering grant allotments and tracking expiring program grants
  • Prepare monitoring and reporting information for supervisor and team on agreed performance indicators to drive more efficient management and accountability for results
  • Regularly monitor budgets and financial expenditures of the Section by employing applicable tools, ensuring compliance with UNICEF rules and regulations, keeping supervisor informed and advised on actions for decision and/or follow up
  • Help prepare periodic or ad-hoc financial reports relating to the CO and donors to support the office in optimizing use of program funds
  • Support capacity development activities related to program development by preparing training materials and participating in exercises

Programmatic:

  • Ensure uninterrupted provision of vaccines and safety injection supplies through smooth coordination and interaction between the Government counterparts and UNICEF Supply Division
  • Support and assist the governmental counterparts and national NGOs/CSOs in Georgia in their efforts to timely and efficiently implement various UNICEF-funded projects in health
  • Assist UNICEF Health Program staff in performing various tasks and in fulfilling the AWP

Knowledge/Expertise/Skills required

Education: Bachelor's degree in any discipline.

Experience: A minimum of 5 years of administrative work experience is required. The candidate with prior experience in a UN system agency will be given a priority.

Language Requirements: Fluency in English and Georgian are required.
