Overview

You have:

  • High school diploma or equivalent is required.
  • Experience in general office support or related areas is required.
  • Relevant experience within the UN Secretariat, UN Common System or other international organization is desirable.
  • Experience with CCURE badging system, especially in processing and issuance of identification cards is desirable.
  • Fluency in oral and written English is required.
  • Knowledge of another official United Nations language is an advantage.

Result of Service

To ensure that UN grounds passes are processed and issued in a timely manner to facilitate access of all clients to UNHQ premises. This will be accomplished by using the Ccure-9000 badging system and other visitors’ management systems.

Duties and Responsibilities

The Individual Contractor (Badging Operator) will be responsible for validating and processing UN ID card applications, managing high volumes of applicants, and ensuring the efficient issuance of ID cards and visitor passes. The Individual Contractor (Badging Operator) will report directly to the Supervisor of the Pass and ID Unit and work closely with other team members within the Department of Safety and Security. The role requires strong organizational skills, attention to detail, and the ability to operate in a fast-paced, multi-cultural environment. • Validate UN ID card applications and register visitors for access to UNHQ premises. • Receive and process applicants for ground passes, including Ministers, Ambassadors, Delegates, Staff, Media, NGOs, and others, handling 300 to 500 applicants daily. • Review documentation to substantiate the issuance of UN ID cards or visitor passes. • Ensure the validity of supporting documentation, verify the category of the UN ID card, and determine the level of access to be granted. • Verify that all applications are signed by an authorized signatory and confirm the identity of applicants using government-issued picture IDs (e.g., passport, driver's license). • Ensure the professional, expedient, and efficient processing of ID cards for high-level UN officials, government officials, celebrities, and visitors. • Interface with focal-point personnel of Permanent Missions, UN Departments, UN Agencies, Funds, Programs, Organizations, VIPs, and visitors to provide advice on procedures for obtaining UN ID cards or visitor passes. • Establish and maintain professional relationships with the Liaison Office of Member States, ASGs, USGs, Executive Officers, Heads of Departments, and other clients to understand their functions and provide relevant client services. • Report to work punctually and adhere to scheduled working hours to ensure smooth and efficient operations. • Process and retain large volumes of information in a short time to ensure accurate and timely issuance of ID cards and visitor passes. • Exhibit a professional demeanor and client orientation in all interactions to ensure high-quality service delivery. • Operate effectively in a fast-paced environment to manage high volumes of work and meet deadlines. • Able to operate in a multi-ethnic and multi-religious environment, respecting and valuing diversity. • Handle lost or stolen passes, coordinating with the Special Investigations Unit as needed. • Manage increased demand for passes during special conferences and events, ensuring efficient processing and distribution. • Maintain accurate records of all issued passes and ID cards, ensuring data integrity and security. • Support the accreditation process for delegates and representatives, including verifying and processing eAccreditation requests. • Provide training and guidance to new staff members on pass issuance procedures and security protocols. • Answer calls from clients and provide information or assistance regarding pass issuance and related procedures. • Perform other assignments and duties as required

Qualifications/special skills

High school diploma or equivalent. Experience in general office support or related areas is required. Relevant experience within the UN Secretariat, UN Common System or other international organization is desirable. Experience with processing and issuance of identification cards, especially using the CCURE badging system, is desirable.

Languages

English and French are the working languages of the United Nations Secretariat. For the post advertised, fluency in oral and written English is required. Knowledge of another official United Nations language is an advantage.
